Summary Optim Orthopedics is seeking an experienced and detail-oriented Front End Supervisor to oversee the daily operations of the revenue cycle team. This role supports staff through training, monitors daily workflows, and ensures timely and accurate completion of tasks. The ideal candidate has a strong background in insurance verification, medical billing, excellent leadership skills, and a commitment to operational excellence and patient-centered service.Essential Duties and ResponsibilitiesFront-end Revenue Cycle OperationsOversee patient access operations, insurance verification, authorizations for surgery/MRI/therapy, claim creation, payment posting, scheduling-check out, and point-of-service collections.Ensure accurate and complete patient demographic and insurance data entry to reduce claim denials.Collaborate with authorization and surgery coordination teams to ensure financial clearance is completed within 48 hours of order submission.Support staff in resolving real-time patient issues related to scheduling, insurance, or financial responsibility.Ensure patient and insurance refund workflows are following proper workflow and complianceProvide in person or virtual coverage during staffing gaps, high volume periods, or training transitions.Revenue Cycle ResponsibilitiesIdentify denial trends and payer issues; recommend resolutions and communicate with billing staff and leadership.Support front desk and billing staff in resolving patient billing inquiries and claim concerns.Oversee accuracy of receipt processing, reconciliation, and closing of monthly and yearly financial periods.Ensure compliance with policies, procedures, and regulatory guidelines across all patient access and revenue operations.Participate in continuous improvement initiatives, including workflow enhancements and system upgrades.Prepare and submit weekly productivity and performance reports.Any other duties as assignedMust have flexibility with hours as needed for clinic.Follows proper security procedures at the close of each day to ensure facility safetyOther duties as assigned.Supervisory ResponsibilitiesProvide daily oversight and coaching for both RCM and front desk teams to ensure productivity, professionalism, and adherence to standard workflows.Serve as the liaison between RCM leadership and front desk staff, escalating issues as needed and ensuring resolution.Monitor daily production and patient volume reports; escalate workflow delays or anomalies.Coordinate training, onboarding, and support for new recruits and trainees.Manage and adjust front desk and RCM staff schedules to ensure adequate coverage at all locations.Act as the primary point of contact in the absence of department leadership.Competencies To perform the job successfully, an individual should demonstrate the following competencies:Customer Service - Works well with patients, vendors, and physicians by keeping them informed and promoting a positive image of the company at all times. An associate degree or certificate in medical office administration preferred. Minimum of 3 years of experience in medical billing, collections, or accounts receivable.Minimum of 2 years of experience with insurance verification. Experience with Athena Health or similar practice management systems is preferred.Language SkillsAbility to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to sort and file materials correctly by alphabetic and numeric systems.Mathematical SkillsAbility to calculate figures and amounts such as discounts, interest, and percentages.Reasoning AbilityAbility to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with standardized situations with only occasional or no variables.Computer SkillsTo perform this job successfully, an individual should have knowledge of Electronic Medical Records (EMR) preferably Athena Database software; Outlook and MS Word Processing software.
