The Alliance for Clinical Trials in Oncology Foundation (Foundation) is a non-profit foundation created to enhance and expand the ability of the Alliance for Clinical Trials in Oncology (Alliance) to conduct cancer clinical research and address important treatment questions through large-scale clinical trials. Through efforts of the Foundation in support of the Alliance, clinical trials and laboratory research are conducted to discover new or improved ways to prevent, treat, and cure many types of cancer, including leukemia and lymphoma, and cancers of the breast, prostate, lung, and gastrointestinal (GI) tract, and help educate the medical community on methods of cancer diagnosis, treatment, and prevention.The Alliance for Clinical Trials in Oncology (Alliance) is a clinical trials network sponsored by the National Cancer Institute that consists of approximately 10,000 cancer specialists at over 1,000-member hospitals, medical centers, and community sites across the United States and Canada. The Alliance develops and conducts clinical trials with promising new cancer therapy and utilizes the best science to develop optimal treatment and prevention strategies for cancer, as well as research methods to alleviate the side effects of cancer and cancer treatments. This role ensures compliance with sponsor guidelines, institutional policies, reporting and oversight of awarded funds. The Senior Grants Administrator responsibilities include creating budgets, coordinating proposal materials, reviewing solicitation terms, and mentoring junior staff. Role and Responsibilities:Provide all phases of pre and post-award financial administrative support for sponsored awards in the assigned portfolio to all stakeholders and support personnelActively seeks out grant opportunities by researching funding opportunities, identifying prospects, and writing compelling grant applications/proposalsOversee the end-to-end administration of awarded grants, including documentation, tracking, and database managementIndependently supports a portfolio of sponsored projects proposals (typically the more complicated or larger solicitations, including NIH Training grants) and ensures a high-quality product is delivered to the Pre-Award team including assisting in the development, preparation, finalization, and submission of the grant proposals prepared.Obtains, reviews, and interprets sponsor guidelines (federal, private) for all proposals; manages requirements in preparing proposal submissions and coordinates and reviews proposals for consistency, accuracy, and completeness ensuring all submissions meet sponsor and institutional guidelines and deadlines.Serves as pre-and post- award lead as necessaryServes as pre and post award back up as necessaryPrepare all required internal and external reports according to agency guidelines on a timely and accurate basisServes as Subaward Invoice approver, Vendor invoice approver and travel reimbursement approver or back up as necessaryWorks collaboratively with program staff and Alliance leadership in the development of sponsored award budgetsMaintains in-depth and expansive knowledge of external sponsor regulations and requirements and stays fully abreast of all proposed changes in federal and state regulations and laws affecting sponsored programsPrepares and submits timely and accurate progress, financial, and final reports to funders, and ensures adherence to all grant guidelines, federal/state laws, and internal policies, often providing technical assistance to subgranteesMonitors grant expenditures, helps develop and track budgets, processes reimbursements, and ensures compliance with financial regulations and sponsor requirementsCollaborate with Alliance personnel at all levels to ensure the successful management and spending of externally and internally funded projects, including principal investigators, department and division administrators, leaders, pre-award administrators, and other support personnelAnalyze and evaluate award budgets for accurate expenditure categories, including fringe benefits and facilities and administrative costsUtilizes systems like Grants.gov, NIH eRA Commons, and internal systems to submit applicationsServes as the main contact for funders, program staff, and other partners, facilitating communication and representing the organization and works with the pre-award support staff at collaborating institutions to secure necessary sub-awards documents for proposalsIdentify opportunities to streamline grant processes for greater efficiency and effectivenessSupports the training and mentoring of junior staff by answering questions on the grant administration process, internal procedures, and best practicesIn addition to daily grant administration functions, this position will be responsible for various projects assigned by the Director to improve processes and proceduresWork with the grants team to successfully complete quarterly and annual financial processes and to meet fiscal year close requirementsSupports the post-award team in the system review and approval of documents prepared for external fundsSupervises staff as necessaryAll other duties, as assignedRequirementsQualifications and Education Requirements:Bachelor's degree and/or relevant experience in grant administration, finance, or related fields3-5 years in grant administration, program support, or related writing/fundraising, often including supervisory experience, handling complex federal grants, and strong financial/audit knowledgeStrong understanding of grant management cycles, funding compliance, federal/agency regulations (e.g., NIH, IRS), and nonprofit operationsStrong understanding of grants submission software, excellent financial analysis skillsExceptional organization, time management, attention to detail, and ability to work under tight deadlinesStrong business writing and verbal communicationStrong analytical skills and ability to work independently and collaborativelyProficiency with relevant software (e.g., MS Office, accounting software)Must be authorized to work in the U.S.Preferred Skills:Degree in a health or science major preferred.Experience working in oncology research preferred.Technical / medical writing experience is preferred (protocol, IND, ICF, etc.). Experience working with international clinical research sites and regulatory requirements.Certified Research Administrator certificates
