Summer Program Operations AssistantDepartment: Taft Educational Center / Summer ProgramsEmployment Type: Temporary / SeasonalWork Schedule: Full-time, 40 hours per week (maximum 48 hours per week)Position SummaryThe Summer Program Operations Assistant provides logistical and administrative support for summer professional development programs. This role supports housing, facilities, registration, materials management, and daily participant services. The position requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.Essential Duties and ResponsibilitiesFacilities & Housing CoordinationCollect fob boards from Security and label fobs with assigned room numbersCoordinate dorm readiness and room status with HousekeepingDeliver and retrieve fans in dorm roomsCoordinate with Mr. Reiff regarding classroom readiness and availability in WuPost and remove signage in corridors and public spacesPrepare and clean prep rooms in Wu using brooms, soap, and paper towelsSet up tables and chairs in the Wu lobby for book representativesProgram & Administrative SupportOrganize and manage participant registrationMatch nametags with fobsPhotocopy and digitize materials; upload digitized files to DropboxMaintain log books and move materials to classroomsDeliver daily announcementsMonitor parking to ensure vehicles are in appropriate areasOrganize and manage Social Hour activitiesProvide basic IT support to participants and instructorsProvide office coverage from 4:00-7:00 PM, answering phones and assisting with questionsEnd-of-Summer ResponsibilitiesMove remaining classroom materials to prep rooms and box appropriatelyCoordinate dorm check-out and room status with HousekeepingRetrieve all fans from dorm roomsVerify return of two fobs per room and return fob boards to SecurityEnsure Wu classrooms are restored and ready for school useRemove all signageClear and organize the office; sort, label, and box materialsRequired QualificationsStrong organizational and time-management skillsAbility to follow detailed instructions and manage multiple tasksStrong communication and customer service skillsBasic technology skills (scanning, file uploads, basic IT troubleshooting)Ability to lift, move, and set up materials, tables, and boxes as neededPreferred QualificationsFamiliarity with campus operations or summer programsPhysical RequirementsAbility to stand, walk, lift, carry, and move materials throughout the workdayWork HoursStandard work week: 40 hoursMaximum weekly hours: 48 hours
