Qualifications and Detail about the PositionBroad FunctionThe Legal Operations Specialist supports the General Counsel and plays a key role in supporting the efficiency and overall effectiveness of the legal department. This position is responsible for optimizing processes, managing budgets, and implementing technologies and processes that streamline legal operations. Essential Functions• Promote, demonstrate, and instill Brock's Bsafe and Bbest culture in all aspects of the business • Manage full lifecycle of legal department invoice utilizing billing management tools, including review, coding, processing, troubleshooting and timely submission• Serve as primary contact for outside vendors regarding invoice questions, disputes and issue resolution• Ensure consistency and efficiency of departmental standards for intake, file management, scheduling, and document handling• Ensure proper use, training, and upkeep of legal software and record-keeping tools• Collects, tracks, logs, and responds to incoming legal directives• Ensure litigation calendars, deadlines, pleadings, and case updates are maintained effectively• Provide clear reporting on pending, active, and resolved matters• Monitor and report on key metrics related to litigation, claims, contracts, and risk• Assist in developing and maintaining departmental budgets, including supporting monthly and quarterly forecasting activities• Develop and maintain legal dashboards and matter lists to provide visibility into active, pending and resolved matters• Lead implementation of contract review and contract AI tools, serving as department SME and providing day-to-day support• Coordinate the rollout and management of a legal hold system and integration of e-billing with the company's finance systems• Ensure proper use, training, and upkeep of legal software and record-keeping tools• Maintain contract archives, corporate records, and policy libraries• Support contract operations and process improvement, identifying opportunities for automation and scalability • Identify and propose opportunities to improve legal workflows and policies and procedures to enhance efficiency and consistency across the department• Assist and provide support to others in the department during high volume monitoring periods or absencesWorking Conditions• Working indoors in an office environment • Utilization of Personal Protective Equipment if necessary Skills & Abilities• Excellent time management, planning and organizational skills • Excellent problem-solving skills • Strong attention to detail, data accuracy, and system integrity • Strong customer service skills • Demonstrated success implementing legal technology solutions and process automation • Ability to multi-task in a fast-paced environment and act with a sense of urgency to meet all deadlines • Ability to collaborate and communicate effectively with all levels of management • Ability to maintain a high level of confidentiality • Strong interpersonal skills; excellent oral and written communication skills • Advanced Microsoft Office skills Education & Experience• Associate's degree or equivalent experience • 3+ years of experience in legal operations, contract management or contract technology administration • Paralegal experience, a plus • Experience in building and maintaining dashboard reports • Experience with billing and financial systems • Experience with Thompson Reuters legal tracker and Luminon contract AI software Location Information:Brock Corporate OfficeLocation of Job:US:TX:HoustonShift:Exempt: YesWork Type:Full TimeWorking Conditions:We conform to all the laws, statutes, and regulations concerning equal employment opportunities and affirmative action.
