The right Culinary Staffing & Scheduling Clerk checklist will include equal parts curious learner, innovator, administrator, detail driver, mentor, and motivator.The Staffing & Scheduling Clerk is responsible for working with the Culinary Staffing & Scheduling Coordinator and Culinary Operations Managers to review and ensure all culinary host work schedules are posted timely, accurately, and in accordance with Dollywood policies and procedures. The Staffing & Scheduling Clerk will be responsible for reviewing labor management control focusing on analysis to ensure the Division is on target for budgeted labor models. The Staffing & Scheduling Clerk will also assist the Culinary Staffing & Scheduling Coordinator with staffing and recruitment responsibilities. This is to be done all in a manner consistent with the mission, values and operating philosophies and standards of the Dollywood Company.Additionally, the ideal candidate will be able to display and live out Lead with Love qualities, strongly rooted in the Dollywood Company culture, by being patient, kind, trusting, unselfish, truthful, forgiving, dedicated and accountable.Summary of Essential Functions and ResponsibilitiesDevelops and facilitates training programs in relation to recruitment, interviewing, hiring and scheduling that are engaging and support a positive learning environment and to enrich leadership performanceReviews labor forecast and ensure schedules are aligned to meet labor management expectationsWorks with managers and chefs to maximize the efficiency for scheduled positions, including staying within the guidelines of the budget model, developing initiatives to maximize hosts' availability and following ACA classification requirementsProvides verbal and written communication for scheduling changes as requiredTracks and provides weekly summary to the Culinary Training Area Manager on all required metrics, such as scheduled hours vs. actual hours, open shifts, staffing statistics, and recruitment informationUpdates staffing matrix as required, as well as the UKG Host Hub and any other rosters/databasesMaintains schedule availability information for all culinary hosts and leadersProvides office support as required, including taking messages, receiving visitors, filing records and assisting Hosts as neededSubmits and reviews all Host Authorization Forms and Clearances and file appropriatelyReviews interview appointment software to align interviewer with intervieweeAttends hiring events and job fairs while also coordinating other necessary culinary interviewers are also scheduledCoordinates culinary appreciation and recognition events for culinary hosts and leadersAdditional duties may include, but are not limited to attending hiring events, completing required HR paperwork, scheduling general safety training, and associated clerical duties or other special projects as assignedManagement reserves the right to change and/or add to these duties at any timeEducation and Experience RequiredMust be at least 18 years of ageHigh school diploma or equivalent requiredAt least 1 year of Supervisory experience preferredAt least 6 months of hiring and onboarding experience preferredBi (Spanish) or multi-lingual speaking, reading, and writing preferredMust be able to pass ServSafe Manager Certification ProgramProven experience with common office software such as Google Drive, Microsoft Office, Outlook, Excel, etc.Proven experience in using and understanding time tracking and labor scheduling softwareMust successfully complete a post-employment offer background check and drug screenMust have a valid Driver's License with current automobile insurance and be able to drive company vehicles as requiredMust successfully complete a background check including motor vehicle and pre-employment drug screenKnowledge, Skills, and AbilitiesAble to display and live out Heartspitality and Lead with Love qualities strongly rooted in the Dollywood Company culture by being patient, kind, humble, respectful, selfless, forgiving, honest and committedAble to make a friendly impression when speaking to or corresponding with guests, vendors, and other employeesMust reflect Dollywood's image by being genuinely friendly and caring and by taking pride in workMust be self-motivated and disciplinedMust be able to prioritize and complete work assignments on a timely basisMust maintain strict confidentiality and judgment regarding privileged informationMust be committed to continuous improvementMust maintain a professional appearance with good personal hygieneMust promote and support a "team" work environment by cooperating and helping co-workersMust be productive in a fast-paced environmentMust maintain dependable work attendance and flexibility with assigned work schedules including any required overtime, evenings, weekends and holidaysMust be sensitive to the needs of our Guests and feel empowered to act to meet their needs within company guidelinesMust be able to utilize effective communication, problem solving, conflict management and interpersonal skillsBe a role model in the areas of attitude, enthusiasm, attention to detail, adherence to policies, and concern for both Guests and HostsAble to comprehend instructions and retain informationAble to perform duties consistent with creating a safe and secure environment for hosts and guestsAble to be flexible to handle frequent changes in prioritiesAble to add, subtract, multiply and divide with accuracyAble to communicate effectively with Guests and Hosts using approved communication methodsAble to tolerate various temperatures while working indoors and outdoorsAble to meet the physical demands of the jobEmbraces efforts and models behavior around Great Place Six (GP6); Employees may also be required to travel to various areas on property which may include changes in terrain, stairs and uneven surfacesRepetitive Movements: This position may require performing repetitive movements and tasks throughout the shift, including repeated use of hands, arms or other body parts as part of typical job functions Environmental Conditions: This position requires the ability to perform work tasks in varying weather conditions to include extreme cold and heat.
