Description The Program Assistant is responsible for supporting the daily operations of the Global Center office, including management of records, overseeing student workers, and coordination of events and both student practicum programs. Job Duties Understands the mission of the Global Center and takes initiative to improve and increase the effectiveness of the Global Center ministry.Organizes, coordinates, and carries out ongoing events, including events that are regularly reoccurring, campus-wide, and week-long. These events include Global Voices, Go Global Missions Emphasis Week, World Christianity Focus Week, International Lunch Club, and others.Facilitates the Cross-Cultural Ministry Practicum program with CCMP partners and BDS students; keeps all CCMP information updated for international and domestic trips; mentors and guides students in choosing their CCMP options; communicates with Beeson, site mentors, and Global Engagement office as needed for approval, registration, insurance, travel grants, etc.Facilitates the Supervised Ministry Practicum program with SMP mentors, Ministry Reflection Group Leaders, and students; works with the Director of Contextual Learning to develop and update the SMP syllabi; keeps all SMP information for student grades, registration forms, mentor progress reports, etc. updated; communicates with Beeson students, SMP mentors, and MRG leaders as needed about expectations, trainings, deadlines, assignments, etc; faciliates payment for MRG leaders with the BDS Director of Operations. Meets regularly with Global Center director to discuss details about administrative needs regarding classes, events, CCMP's, SMP, Missions Certificate, budget, guests, etc.; assists director with details and needs.Uses strong writing and verbal skills to communicate with students, staff, faculty, the Global Center, and off-campus constituencies like churches and ministries.Coordinates with Beeson's Media Center, Marketing and Communications Coordinator, and Samford's Technology Service department for events, promotional material, media, and tech needs for events, including setting up registration for events as needed.Manages and coordinates the day-to-day operation of the Global Center, including opening and closing of Global Center.Assists director with overseeing and recruiting students for the Missions Certificate.Provides tours of the Global Center exhibit area to guests.Assists in planning and hosting Global Center conferences, seminars, events, and meetings; includes planning, hosting, and set up for events.Hosts and coordinates schedules, details, and visits of Global Center guests and speakers.Oversees daily work and projects carried out by student workers.Conducts internet and library research that includes people, organizations, events, articles, and books; secures select missions publications for the Global Center resource room.Works with the BDS Marketing and Communications Coordinator to manage content for the Global Center webpages and to produce printed media, e.g. brochures, fliers, posters.Makes purchases and works with Divinity's Financial Administrator who monitors the Center's budgets.Works cooperatively and collaboratively with Beeson Divinity School and Samford University staff, promoting the ethos and mission of the school.Connects with Birmingham churches and mission agencies for collaborative Kingdom-building opportunities, such as the Birmingham Internationals Ministry Summit network.Maintains professional appearance and demeanor (courteous and friendly) toward constituency of the Global Center.Communicates with BDS alumni serving cross-culturally to connect them with BDS events, with current students/staff, and to secure updates and ways to encourage and pray for their ministries.Assists in updating and maintaining Global Center spaces, exhibits and equipment.Provide hospitable reception for students and guests, engaging in conversations pertinent to ministry, calling, and missions.Engages in cross-cultural relationships with grace and competence.Possesses solid problem-solving skills. Qualifications Bachelors degree in Business, English, Marketing, Communication, or a related field.Minimum two (2) years of experience in an administrative support role or in another full-time position with significant administrative responsibilities.Proficient in MS Word and Excel, with general computer competency. Strong communication skills and ability to build relationships with individuals from diverse backgrounds. Exceptional attention to detail and accuracy in reporting.Excellent organizational skills and telephone etiquette. Comprehensive administrative, editorial, and research skills. Strong interpersonal skills for effective interaction with faculty, staff, and students. Preferred Qualifications Master of Divinity and/or formal degree in Missions.Missions (or similar cross-cultural ministry) experience.
