What You'll Do As our Facilities/Operations Supervisor, you'll partner with the Senior Manager of Administration (SMA) to ensure the Dallas office runs seamlessly, overseeing Facilities, Delivery Services (Mailroom), and Digital Services (Reprographics). This hands-on role blends leadership, operational expertise, and customer service, ensuring attorneys, staff, and clients receive top-tier support. The schedule for this position is: * Monday through Friday, onsite, with occasional after-hours or weekend needs. * Lead and Collaborate: Drive operational excellence by coordinating cross-functional initiatives, implementing Firmwide policies, and fostering a culture of continuous improvement. Analyze and recommend process enhancements to optimize office services. * Supervise and Develop Teams: Coach, train, and manage operations personnel, including performance reviews, career development, and addressing employee concerns. Ensure cross-training across department functions and maintain high morale, engagement, and productivity. * Oversee Facilities: Manage maintenance, security, and vendor relationships. Coordinate inspections, repairs, and emergency procedures while maintaining a safe, efficient workspace. * Manage Digital & Delivery Services: Supervise reprographics, mailroom, and digital services operations, ensuring accuracy, confidentiality, and timely completion of document requests. Maintain equipment, supplies, and organized workspaces. * Handle Purchasing, Inventory & Budgeting: Ensure procurement aligns with policies, track inventory, manage vendor invoices, and support financial reporting for departmental operations. * Support Space Planning & Moves: Collaborate on office layout, space utilization, and moves to accommodate staffing changes and special programs. Coordinate with Technology, Guest Services, and HR to resolve logistical challenges. * General Operational Support: Plan, execute, track, and report on operational activities, supporting the Dallas office's overall functionality and service quality. What You'll Bring * Education: Bachelor's degree preferred, or equivalent on-the-job experience. * Experience: 5-7 years in operations or facilities management in a professional services environment, with at least an additional 3 years in a supervisory role; law firm experience preferred. * Leadership & Client Service: Proven ability to lead teams, deliver exceptional service, and exercise independent judgment and discretion. * Operational Expertise: Skilled in change management, performance management, time management, and continuous process improvement. * Communication & Interpersonal Skills: Strong written and verbal communication, with the ability to motivate, resolve conflicts, and collaborate across teams. * Analytical Skills: Ability to collect, analyze, and report operational data effectively. * Technical Proficiency: Comfortable with Microsoft Office Suite (Word, Outlook, Excel) and standard office technologies.
