Job DescriptionFacilities Coordinator will work closely with FMOLHS Pauline O'Sullivan Executives and FMOLHS Facilities Office. They will coordinate facility tasks for O'Sullivan campus including maintenance contracts with vendors, coordination of work orders, maintaining records for this campus, and ensuring safety standards are met for O'Sullivan building.Responsibilities Coordinate contracts for Pauline O'Sullivan campus and include all repair requests in work order system Maintain copies of contracts for all vendors providing services Ensure all repairs and maintenance requests are submitted in approved work order system, including Housekeeping and Plant Services systems Provide monthly status report of all maintenance projects Submits a recommended budget for O'Sullivan campus each year to FMOLHS Finance Completes schedule rounding in the building and grounds. Completes documentation of the rounding efforts, and submits appropriate work orders based on the rounding findings. Rounding will include (a) vendor contract compliance (b) ensuring building supplies are kept at par level (c) verifying the PMs on AEDs and fire extinguishers. Vendor compliance Verifies vendors are completing the defined expectations of the contract, and monitors vendor work schedules/ duty assignments. Ensures all internal and external vendors follow policies and procedures of FMOLHS, including Purchase Orders Meets directly with housekeeping, security, maintenance, and other major vendors on a regular basis Ensure safety standards are met for O'Sullivan campus Schedule recurring facility inspections with the Director of Plant Management Develop and maintain policy on fire drills. Coordinate annual fire drills and training for campus leaders. Participate on O'Sullivan team that is trained to announce all Codes on the speaker phones in the building Inspects buildings and grounds to ensure conformity with established standards and regulations. Verify food vendors, including food trucks, have current insurance certificates. Coordinates master key and badge access needs with the Security and Access teams at OLOL. QualificationsExperience - 2 years of experience I field or in related areaEducation - Requires high school diplomaTraining - Proficient in Microsoft Office applications Proficient with work order/maintenance systemsSpecial Skills - Strong Communication Skills with Internal and External Customers
