**About this Role** The Meeting & Events Planner leads successful executionof events as the primary point of contact for clients and primary communicator of eventdetails to the meeting and events operations team. In this role, you will be responsible for guiding eventclients through the full scope of the planning process, including furniture andequipment configurations, audio-visual requirements, food & beverageservice, transportation, and other event attendee services. The Meeting & Events Planner manages the master eventscalendar, confirms event requirements, and ensures operations stakeholdersfully understand requirements through management of communication channels,briefing, and planning meetings. **This role is located at our client's site in Menlo Park,California. Up to 10% travel required.** **DUTIES & RESPONSIBILITIES** + Serve as primary point of contact for highprofile and/or large engagements. + Accountable to develop and communicate complexevent plans to ensure flawless execution of meetings and events. Exercisessound judgement to ensure that events are delivered to exceed clientexpectations, while maintaining adherence to guidelines and processes andleveraging meeting industry best practices and experience. + Manage complex master meeting and eventscalendar for medium to large sized event space. + Communicates events schedules with all requiredpartners and service providers. Responsible for all communications, planningmeetings with event staff, and proactively planning logistics across the mastercalendar. + Respond to event requests through the InternalEvent Tool within the designated SLA, making sure that metrics are met. + Responsible for pre-event planning, greetingevent hosts upon arrival, introducing service delivery teams to client,answering questions, ensure understanding of details of event between host andservice delivery team and post event reporting and reconciliation. + This includes but is not limited to:problem-solving issues that arise, directing event set-up, communicating withstaff, organizing vendors, supporting attendee/speaker requests, andcommunicating/collaborating with tear-down team. + Manage each event as a project from planningthrough execution. Responsible for ensuring parties involved in supporting theevent are asked for input at the right time in the event plan and receive allrelevant communication. This includes creating and managing detailed event planningtimelines, ensuring deadlines are met on time and with high quality, creativelytroubleshoot issues, ensure effective handoff to service delivery team,monitoring the progress and schedule of events and tasks, communicating withstakeholders, management, and other relevant parties. + Responsible for building and maintaining workrelationships with internal and external clients in a timely and professionalmanner. Participates and/or leads planning calls, representing the site andensuring all event aspects are in accordance with building safety and securityregulations. + Coordinate with internal partners as well aswith outside vendors and event professionals to manage client expectations ontime and with high quality. Creates and distributes banquet event orders tovendors and internal and external stakeholders defining event specifics includinga timeline and floorplans for set-up, event flow, and event strike details. + Key contact for the event in ensuring seamlessevent delivery by the Meeting & Events operations team. Check in with theteam and client on the day of the event to ensure thorough communication;responsible for on-site logistics including managing vendors ensuring a certificateof insurance is on file, load in and set up is on time and in adherence tobuilding/site policies and is a point of escalation should an issue arise. + Capture post-event reporting and reconciliationand suggests recommendations for continuous improvement and cost/processefficiencies. + Support and provide informal guidance to juniormembers of the team. + May support with budget creation for events andaccountable for budget adherence and related activities such as requesting andreviewing invoices in a timely manner. + Perform other duties as assigned. **What You'll Need:** **QUALIFICATIONS** Bachelor's Degree in Business, Marketing, Public Relations,Communications or related discipline from a 4-year college or university, and aminimum of 2 years of relevant experience and/or training; or equivalentcombination of education and experience (equivalent work experience = 2 yearsexperience for every year of higher level education). Experience in corporate or conference center managementpreferred. Certified Meeting Professional (CMP) preferred. Ability to comprehend and interpret instructions, shortcorrespondence, and customer requests and ask clarifying questions to ensureunderstanding. Ability to write routine reports and correspondence. Ability torespond to common inquiries or complaints from clients, co-workers, and/orsupervisor. Ability to effectively present information to an internaldepartment and/or large groups of employees. Comfortable meeting and engaging with new people. Warm and engaging demeanor. Ability to assess circumstances,empathize and offer help. Utilize a high level of attention to detail as well asstrong interpersonal skills. Have a positive attitude and a strong sense of urgency inresolving any issues that may arise. Requires advanced knowledge of financial terms andprinciples. Ability to calculate intermediate figures such as percentages,discounts, and commissions. CA Residents: CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Meetings & Events Planner position is $80,000 and the maximum is $91,000. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
