Position Overview: The Development Services Specialist serves as part of a team that provides administrative and project support for the PHS Development Department, including customer service, data entry, and information analysis. This position is primarily focused on development functions related to membership, annual fund fundraising efforts, and data analysis, and works collaboratively with the development team to process gifts, generate acknowledgement letters, produce giving reports, and support events. This position will require extensive knowledge of PHS development and membership programs, and other organizational activities as well as fundraising databases and best practices.Primary Responsibilities:Manage daily constituent data entry in Raiser's Edge and Ticketure including gifts and membership transactions,Development with primary focus on direct mail fundraising effortsGenerate correspondence for development emails and administration. Manage Membership email inbox and respond to incoming membership inquiries Assist with member and donor services projects, including constituent record management, acknowledgement and benefit fulfillment, and Flower Show membership ticketing coordinationAssist with event data entry in concert with the Development Services CoordinatorDevelop, streamline, automate and maintain procedures associated with gift entry, membership tracking and other essential tasksProvide data management and reporting as assigned Contribute to positive constituent relations through professional, friendly and responsive telephone, email, and face-to-face interactions with all PHS constituentsMaintain the highest quality and integrity of data in all of PHS's established databases. Recognize and correct inaccuracies and inconsistencies in data. Assist with large-scale updates and data hygiene projects. Monitor and edit database records and information as necessary. Assist with special divisional projects as assignedAssist with development events including creation of materials and occasional staffing as needed. Contribute to positive constituent relations through professional, friendly and responsive telephone, email, and face-to-face interactions with all PHS constituentsSUPPORTIVE FUNCTION AND RESPONSIBILITYParticipates in PHS events throughout the year including major fundraisers and the Philadelphia Flower ShowProvides support to PHS activities, special events, and other related responsibilities as assigned Assist in acknowledgement process as needed. Helps to enlist new and retain existing donors by sharing the benefits of PHS membership with partners, advisors, program participants and others Remains current with organization information and changesPromotes and applies teamwork skillsNotifies appropriate individuals promptly of problems or unusual matters of significanceComplies with the organization's safety regulations, policies and proceduresExecute emergency procedures in accordance with organizational standardsAttend appropriate meetings and training sessionsAdheres to the highest standards of professional ethicsQualifications/Specification:Minimum degree required: Bachelor's degree in a related field preferred Years of experience: 2-3 years of fundraising and/or non-profit experience a plusLicenses/Certifications: N/ADriver's License: RequiredKnowledges, Skills, Abilities required for success:Excellent written and verbal communication skills Knowledge of Raiser's Edge (or other fundraising database software) and Microsoft Office is preferredClose attention to detail, accuracy, and timelinessExcellent interpersonal skills and ability to appropriately manage sensitive and confidential informationMust be committed to the mission of the Pennsylvania Horticultural SocietyAdheres to the highest ethical standardsPhysical Demands:This is largely a sedentary role that requires looking at a computer screen for extended periods of time; however, some physical demands are required.Standard Hours (including travel, evening, and weekend hours): PHS's standard office hours are 9 AM to 5 PM at team member's designated workspace. Some teams and positions work alternate hours because of the nature of their role at PHS. Your Business Unit's Working Norms document will identify alternative hours, if applicable.Flower Show Requirements: Hours preparing for the show and the duration of the show may not follow your regular work schedule. Your Flower Show schedule will depend upon your regular position or your temporary position supporting the Flower Show. You may be required to stand for long periods of time, do extensive walking, and lift up to 25 pounds.
