Associate's or Bachelor's degree preferred.Minimum of 5 years of high-level administrative experience, preferably in a K-12 school setting and/or supporting a Board of Directors.Exceptional interpersonal skills, with the ability to serve as a professional representative of the school to families and community partners.Advanced proficiency in Microsoft Office and Google workspace.Experience with Infinite Campus and Data Service Center preferred.Strong understanding of Delaware School Choice laws and the procedures associated with the enrollment process.Demonstrated ability to manage complex state reporting requirements and compliance timelines. Position Overview: The Senior Executive/Admissions Secretary provides high-level, confidential administrative support to the Head of School (HOS) and serves as the primary liaison between the HOS, the Board of Directors, staff and the broader school community. This role requires the ability to manage sensitive information with the highest level of discretion, professionalism, and integrity. The Senior Executive and Admissions Secretary also serves as the School Registrar, overseeing the lottery, enrollment, and withdrawal process. The position is responsible for maintaining accurate records and ensuring compliance with all applicable policies and procedures. Primary Responsibilities: Admissions and Enrollment Management: Manage the K-12 admissions process, including the application window, lottery procedures and serving as the primary point of communication for prospective families.Coordinate and oversee the onboarding process for all new students and families.Plan and execute Choice Open House events in collaboration with the Communication and Outreach Coordinator to support recruitment efforts.Serve as the School Registrar, managing all student enrollments and withdrawals, including conducting exit interviews and processing transcript requests.Prepare and distribute academic recognition materials, including Honor Roll certificates.Other duties as assigned by the Head of School or designee. Data Management & State ReportingServe as the primary point of contact for Unit count and manage all related data within the Data Service CenterMaintain and regularly update family contact information in Infinite Campus and other systems to ensure accuracy and completeness of student records.Support the management of the Dropout Review and Appeals process (DVS) and the Cohort Review and Appeals process (CMS).Maintain all required Civil Rights documentation and ensure compliance with state and federal reporting requirements.Process and track student-related fees, including Activity Fees, Technology Fees, and other billing as assigned. Executive and Board SupportManage the schoolwide calendar, correspondence, and special projects.Coordinate and communicate all aspects of Board meetings, including public notice postings, agenda preparation, and the recording and transcription of official minutes.Attend monthly evening Board meetings and occasional evening recruitment events (e.g., Open Houses).Provide front desk/reception support as needed, including greeting visitors and assisting families and staff in a professional and welcoming manner.Maintain the highest of confidentiality in all matters related to personnel, student records, Family Educational Rights and Privacy Act (FERPA) and legal or sensitive school operations.
