Role SummaryThis role requires strong organization, excellent client communication, attention to detail, and the ability to solve problems while maintaining a premium client experience.Working closely with the Production Manager, the Project Coordinator acts as the operational bridge between sales, clients, suppliers, and subcontractors to ensure a smooth transition from signed contract to project start.The Project Coordinator plays a critical role in preparing sold residential painting projects for successful execution. This position ensures that every project is properly set up, documented, approved, and ready for production before crews are scheduled.Serve as a key communication point for clients during the project preparation phase.Primary ResponsibilitiesProject Setup & PreparationPrepare newly sold projects for production by ensuring all required information and approvals are complete.Responsibilities include:Reviewing contracts and verifying scope of work accuracyAuditing material lists and paint specificationsConfirming project details in company systemsEnsuring projects are fully prepared prior to schedulingClient CommunicationServe as a key communication point for clients during the project preparation phase.Responsibilities include:Retrieving and confirming paint color selectionsSecuring color form approvalsConfirming project details with homeownersAnswering client questions and setting clear expectationsCreating positive, professional customer interactionsMaterials & Vendor CoordinationCreating and placing paint ordersCoordinating delivery schedules with suppliersEnsuring correct materials are ordered for each projecResolving any order discrepanciesFinancial & Administrative SupportProcessing client paymentsManaging financing draw requestsPreparing and sending invoicesCompiling subcontractor agreementsPreparing subcontractor payroll summariesProject DocumentationCompiling and documenting change ordersMaintaining accurate job filesTracking job costing dataPreparing production reportsProduction SupportAssist Production Manager with operational coordinationProvide administrative support to field crews when necessaryHelp resolve project challenges and client concernsSkills & QualificationsRequired SkillsHighly organized with strong attention to detailStrong verbal communication skills with clientsComfortable managing multiple projects simultaneouslyAbility to solve problems and create win-win outcomesStrong computer skills and ability to learn new systems quicklyPreferred ExperienceResidential construction or home services industryProject coordination or operations supportCustomer service experienceFamiliarity with job costing or project management systemsKey Traits for SuccessThe ideal candidate demonstrates:Ownership mentalityProfessional communicationProcess-driven thinkingStrong follow-throughAbility to stay calm and solutions-focused under pressurePerformance ExpectationsSuccess in this role means:Projects are accurately prepared before productionClients feel well informed and confidentPaint orders and materials are correct the first timeDocumentation and job costing data are accurate and organizedCulture Fit - Alliance PaintingWe operate under our core values:Teamwork - We win togetherPursuit of Excellence - Good enough is never enoughGrowth Oriented - We constantly improveOwnership - We take responsibility and solve problems
