The CEO seeks a trusted assistant partner who is highly organized, forward-thinking, and energized by supporting both strategic priorities and relationship-driven work across the organization.Hiring GoalThe CEO is seeking a well-versed Executive Assistant who can operate at a high level across executive operations, board commitments, and team collaboration. This role requires someone experienced in managing complex communications, supporting Board activities, coordinating leadership rhythms, and ensuring strong information flow across departments.The ideal candidate is detail-oriented, resourceful, and proactive. This individual believes deeply in the power of nonprofit work and finds purpose in creating structure, clarity, and alignment that enable leadership to focus on impact.ROLE OVERVIEWExecutive Operations (50%)Support a high-volume inbox using a systems-oriented approach (prior experience desired).Draft, edit, and refine executive communications including emails, statements, talking points, speeches, and written responses for internal and external audiences.Manage executive workflows that enable the CEO to advance organizational priorities aligned with the annual (strategic) operating plan.Manage the CEO's calendar for all internal and external:Stakeholder meetingsMonthly travelBoard activitiesStaff meetings, and morePrepare daily and weekly briefings, ensuring the CEO is equipped with agendas, materials, background context, and decision-support documents.Serve as the primary liaison between the CEO and internal departments, ensuring accurate, timely, and appropriate information flow.Prepare high-quality executive presentations and materials that support strategic discussions and organizational storytelling; sometimes from scratch or repurpose.Provide coordination and project management for CEO-sponsored initiatives, tracking milestones, deliverables, deadlines, and proactively escalating risks or barriers.Help CEO with donor initiatives.Support donor stewardship by logging correspondence in Raiser's Edge (CRM) and assisting with follow-up.Manage expense reporting via Concur.Leverage Technology (i.e., Trello) AI tools (i.e., ChatGPT) to optimize work product and workflow.Corporate Officers (CO) Team Alignment (25%)Maintain the rhythm of business for the CO Team, including meeting planning, agendas, materials, follow-up, and tracking of commitments.Track organizational milestones, reporting deadlines, and cross-functional dependencies to promote transparency and accountability.Facilitate alignment and coordination across departments including Operations, Programming & Outcomes, Resource Development, Finance, Marketing & Communications, HR, IT, and Facilities.Coordinate cross-departmental data, reports, and materials required to support enterprise priorities and leadership discussions.Manage executive dashboards and enterprise reporting tied to annual work plans, ensuring progress updates are accurate and timely.Board & Committee Support (25%)Serve as the primary administrative liaison to the Board of Directors and Board committees.Manage all aspects of five Board events each year: support including calendaring, logistics, materials preparation, and communication with Board members.Produce accurate Board agendas, minutes, reports, presentations, and Board books; ensure materials are complete and distributed in advance of meetings.Draft and distribute Board updates and quarterly scorecard reports (with support from others).Administer Board by-laws, governance documents, compliance requirements, and version control processes.Maintain digital Board systems, document storage, and governance records.Serve as editorial gatekeeper for Board materials to ensure consistency, accuracy, and quality.Desired background and attributesCandidates will be considered in totality of their skills and experience versus strict interpretation of "must haves."Skills align with ~80% of the responsibilities listed aboveBoard management experience, highly desiredExperience in nonprofit environments, highly desiredProficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)Comfortable using Microsoft Teams (widely used internally)Familiarity with donor management systems (Raiser's Edge is a plus but not required)Professional demeanor with excellent written and verbal communication skillsSelf-starter with strong ability to anticipate needs, execute independently, and follow throughProven track record of working independently with minimal supervisionNimble, adaptable, and entrepreneurial mindset (strong plus)Comfortable in a fast-paced environment managing multiple tasksEnergetic, proactive, and eager to take on new challengesCompany OfferingsWorking Hours: 4 days onsite, 1 day remote (after 6-months)Salary: $66k to $87k (exempt)401(k): Up to 5% employer matchPTO: StandardHolidays: 10 paid holidays + your birthday and winter holiday break for all employeesHealthcare: Medical insurance through UnitedHealthcare.
