POSITION SUMMARYThe Operations Support Specialist provides comprehensive operational, administrative, and customer support across all field and back-office functions. This position may provide support to construction, maintenance, customer experience, community outreach, social media communication, fleet, land management, compliance, billing, collections, regulatory filings, and project execution. The Operations Support Specialist ensures the seamless coordination of work, regulatory accuracy, and outstanding customer service by managing a wide range of interconnected activities within the gas utility operation.DUTIES & RESPONSIBILITIES Coordinates scheduling of construction and maintenance crews for service orders, new installations, repairs, and system upgrades.Manages and track fleet maintenance schedules, vehicle assignments, and fuel reporting.Supports land management activities including easement tracking, right-of-way documentation, and property files.Prepares, monitors, and updates work orders and asset records for field activities.Assists with material procurement, inventory control, and contractor dispatching.Processes customer billing, adjustments, dunning notices, and collections activities in alignment with company policies.Responds to customer inquiries and complaints, providing timely and effective resolutions.Supports service requests, meter sets, turn-ons, disconnects, and work order completions.Serves as an internal liaison between field crews and customer service representatives to ensure customer satisfaction.Maintains accurate records for leak surveys, cathodic protection, pipeline integrity, and OQ records.Assists with regulatory filings, reporting deadlines, and document retention for NCUC, PHMSA, and other agencies.Provides administrative support for Operator Qualification (OQ) tracking and proctoring.Facilitates internal compliance audits and ensure readiness for external regulatory reviews.Supports project tracking, documentation, and schedule coordination across capital and maintenance projects.Provides administrative support for cross-departmental initiatives, meetings, and reporting.Develops and maintain spreadsheets, GIS updates, and operations dashboards.Participates in process improvement initiatives to streamline operations and enhance data accuracy.SUPERVISORY RESPONSIBILITIESThe team member in this role will:Serve as an Individual Contributor without supervisory responsibilities.Support and contribute towards team goals and objectives.REQUIRED SKILLS & ABILITIES Familiarity with OQ systems, GIS platforms, work management software, and regulatory tracking.Knowledge of natural gas operations, billing processes, and regulatory frameworks.Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.Proficient in Microsoft Office (Excel, Word, Outlook) and database systems.Excellent communication skills and a customer-first mindset.Detail-oriented with a focus on accuracy and regulatory compliance.Ability to work independently and as part of a collaborative team.EDUCATION & WORK EXPERIENCEHigh school diploma or equivalent required; Associate's degree or relevant technical certification preferred.Minimum two (2) years of experience in utility operations, customer service, billing, project coordination, or administrative support.Experience in a natural gas utility or related industry strongly preferred.PHYSICAL REQUIREMENTSThe ideal candidate must be able to complete the following physical requirements of the job with or without a reasonable accommodation:Remain stationary at a designated workspace for at least 75% of the time.Move self in different positions to accomplish various tasks throughout the office space.Adjust or move objects up to 25Operate a computer and other office productivity machinery as necessary.Communicate with others to accurately exchange information and ideas.Observe details at close range.WORK CONTEXT Minimum travel for work-related purposes is expected up to 10% of the time, which includes some overnight visits to locations and industry events.This is a full-time non-exempt hourly position.
