Grace Fellowship has 3 locations; Latham, Halfmoon, and Saratoga.How You Will Serve at Grace:Position SummaryReporting to the Central Operations Pastor, the Assistant to the Central Operations Pastor provides administrative and operational support to ensure the efficient functioning of Grace Fellowship's day-to-day operations. This role schedules meetings, prepares documents and reports, handles correspondence, and assists with day-to-day office tasks. Success in this position requires a high level of trust and the ability to be discreet in sensitive matters. The ideal candidate will be able to handle multiple projects at once, able to work independently and as part of a team.Primary ResponsibilitiesReceive, screen, prioritize, and appropriately route phone calls, voicemail messages, and inquiries directed to the Central Operations Pastor with discretion and sound judgmentSchedule and arrange meetings for the Central Operations Pastor with staff, congregants, and outside vendorsProvide administrative and logistical support for monthly corporate All-Staff Meetings and Central Support meetings, including agenda coordination, materials preparation, logistics, and follow-up communicationCoordinate and support the planning, logistics, and execution of the annual Management Team Retreat and Central Support Retreat, including scheduling, venue coordination, materials, travel arrangements, and on-site supportAssist in the planning and execution of seasonal staff eventsCoordinate logistical support for Elder Meetings, including catering and scheduling supportCoordinate and execute special projects supporting the Central Operations Pastor, exercising independent judgment and ensuring timely completionPrepare, organize, and maintain confidential documents, correspondence, and records related to Central Operations and governance activitiesPerform other related administrative tasks as assigned in support of campus operationsWhat You'll Bring:Knowledge, Skills, & Abilities (KSAs)Required KSAsA High school diploma or general education degree (GED)A history of exceptional attention to detailStrong interpersonal skills & the ability to effectively work with a wide range of individualsProven ability to communicate clearly, both verbally and writtenUnderstanding of general office procedures, including scheduling, correspondence, and document managementFamiliarity with standard productivity software such as Microsoft Office or Google Workspace, and ability to quickly learn church-specific systemsStrong organizational and time-management skills to prioritize tasks and meet deadlinesAbility to maintain confidentiality and exercise discretion when handling sensitive informationAbility to adapt to changing priorities and to handle multiple tasks simultaneouslyAbility to work effectively within a church or faith-based environment, supporting the mission, values, and culture of the organizationDemonstrated professionalism in interacting with senior leaders, elders, staff, congregants, and external partnersDesired KSAsAssociate's degree or equivalent combination of education and experience, with two to four years of administrative or executive support experience preferredWhat We Believe:Grace Fellowship expects all staff to align with our nine (9) statements of faith.
