HR Operations, Payroll & Benefits SpecialistPOSITION DETAILS:Job Type: Full-Time,Pay: $80,000-$100,000FLSA: Salary, ExemptSchedule: Mon-FriLocation: South Bend, IndianaTravel: LimitedWHAT WE WILL EXPECT FROM YOUThe HR Operations Payroll & Benefits Specialist manages and administers all activities related to the company multi-state, multi-entity payroll and employee benefits including developing, implementing, and monitoring processes, policies, and data correctness. This individual will be the company's subject matter expert for payroll and benefits for all US locations. This position will also be responsible for HR Operations function in our bioethanol plant located in South Bend, IN. This is an exempt, full-time salaried position reporting to the Head of HR, offering health, dental, vision, 401(k), vacation and other employee benefits.Essential Functions of the Job: Closely collaborate with the Head of HR and the local leadership to implement best HR practices to build the culture, increase retention, and engagement. Responsible for the accuracy and processing of bi-weekly payroll for hourly, shift, salaried, and temporary employees in multi-company and multi-state operations, including administering regulatory requirements, e.g., garnishments, tax levies, and other adjustments to pay as necessary Administer employee benefits and welfare programs, including enrollment, changes, terminations, and eligibility tracking Monitor benefit plan compliance with applicable regulations (e.g., ACA, ERISA, COBRA, FMLA) Coordinate with Finance, HR, vendors, and third-party administrators to ensure seamless reporting and reconciliation Participate in audits, system implementations, and organizational initiatives related to payroll and benefits Maintain strict confidentiality of employees and company information Support local management team and South Bend employees with all HR related mattersPAYROLL Responsible for the accuracy and processing of bi-weekly payroll for hourly, shift, salaried, and temporary employees in multi-company and multi-state operations, including reviewing and importing hours from time and attendance system, administering regulatory requirements, e.g., garnishments, tax levies, and other adjustments to pay as necessary. Ensure all Company policies and guidelines are strictly followed. Provide payroll reports and funding information the the GL Accounting team with each payroll. Ensure compliance with all the local, state, and federal laws and regulations Ensure all required documents are obtained and stored in the employee file. Administer the time and paid leave policy for all employees. Produces ad-hoc reports pertaining to payroll and human resources . Generates files/reports such as the EEO1, ACA, annual non-discrimination testing for benefits plans, monthly and quarterly reports, as well as other special and ad hoc reports as requested.BENEFITS: Administration of all employee benefit programs including enrollments and terminations. Fulfill all governmental regulatory mandates and filings as required. Assist with benefits annual open enrollment process. This includes providing reports, analysis, census preparation, processing changes in payroll within deadlines. Conduct regular reviews and audits of benefits enrollment to ensure information accuracy. Work closely with the accounting team for quarterly and year-end audits (payroll, Workers Comp, 401k, etc.) Address benefit inquiries to ensure timely and accurate resolutions. Maintains contact with employees to facilitate proper and complete utilization of benefits for all employees. Review invoices for accuracy and approve for payment in a timely manner. Resolves discrepancies with carriers and payroll. Performs monthly reconciliation of all invoices. Coordinate with third party administrator to manage disability claims according to the plan and process the third party sick pay via payroll on a timely basis. Handle all leave requests and manages FMLA, maternity, paternity, LOA, STD/LTD, COBRA. Manage 401(k) enrollments and ensures compliance between the plan document and plan operations. Manage annual plan audits and 5500 filing.HR OPERATIONS - GENERALIST: Assume all day-to-day HR functions, including employee relations, business partnering, and recruitment for the South Bend location in collaboration with the HQ office Support managers and employees in the performance review process Manage the onboarding/offboarding process to ensure all required documents are collected and saved Work closely with the HR team and employees to ensure data accuracy in the HRIS Act as the on-site HR representative for the South Bend plant locationQualifications: Bachelor's degree in Human Resources, Accounting, Finance, Business Administration, or related field 5+ years of experience in payroll and benefits roles Certifications such as CPP, CEBS, or PHR/SHRM_CP, a plus Work experience should include knowledge of basic HR, payroll, benefits, and compliance related topics. Familiarity with HCM and Payroll platforms such as ADP Workforce Now, Paychex, Paycor, etc. Outstanding analytical, verbal, and written communication skills Sound judgement and integrity, ability to handle confidential information. Excellent organizational skillsPHYSICAL AND WORK ENVIORNMENT REQUIREMENTS:This role operates in both an office and manufacturing plant environment. When present in the plant, the employee must be able to wear and maintain required personal protective equipment (PPE), which may include flame-resistant (FR) clothing, safety glasses, hard hat, safety-toe boots, hearing protection, and gloves.The position involves primarily office-based work, including prolonged periods of sitting at a desk, as well as regular movement throughout the facility.
