Assistant Registrar, OperationsDepartment: Office of the RegistrarLocation: Jerry Sue Thornton Center Reports To: College Registrar Recruitment Type: External/Internal Requisition ID: req6657 Employment Type: Administration and Professionals Union Position: Non-Union Work Schedule: M-F, 8:30am-5:00pmNumber of Openings: 1 Job Description: SUMMARYManagesthe daily operations of the Office of the Registrar, including but not limitedto, staff scheduling, adhering to established processes, and monitoringworkflow. Responsible for the managementof all aspects of student records for credit courses College-wide, processingof applications for new and returning students and serves as the primaryresource for the College grading process. Acts on behalf of College Registrar in their absence.ESSENTIALFUNCTIONSManages the generation of electronic and regular correspondence to admitted students and responds to student inquiries related to academic recordsSupervises and manages the performance of assigned staffManages the scanning and indexing of student recordsManages College wide processes for student records evaluation for incoming transcripts and credit awarded, outgoing transcripts, graduation, and the academic gradingResolves complex problems and concerns related to admission applications and student recordsTests Banner processes and reports including those associated with system upgrades and new system functionalitiesRepresents the College and the Office of the Registrar in state-wide projects and initiatives Assists the Registrar with the management of departmental staff and with development of process design and review of academic policy related to student recordsServes on the team organizing Fall and Spring Commencement ceremonies Serve as a Designated School Official for SEVISPerforms other duties as assignedREQUIRED QUALIFICATIONSEDUCATIONAND EXPERIENCE/TRAININGMaster's Degree in a related fieldSignificant related experience may substitute for educationMinimum of four years of progressively responsible experience in admissions, financial aid or enrollment managementDemonstrated experience supervising, planning, assigning, scheduling and ensuring the quality of the work of othersDemonstrated experience effectively making decisions that have major implications on the strategy, management and operations within a departmentDemonstrated experience requiring diverse problem solving methods in a variety of situationsKNOWLEDGE,SKILLS and ABILITIESPossess working knowledge of student records and admissions concepts, practices and procedures with the ability to apply in varied situations as it pertains to the departmental focusPossess excellent written, verbal and interpersonal communication skills Ability to work in a fast paced, high volume and confidential service environmentPossess strong organizational and time-management skillsAbility to effectively complete work assignments independentlyAbility to work accurately with great attention to detailAbility to prioritize/handle multiple tasks and work with deadlines in a dynamic environmentAbility to promote collaboration, teamwork, and involve all stakeholders in decision-making processesDemonstrated understanding of and commitment to the relationship between access, completion and student successPossess intermediate-level Microsoft Outlook, Word and Excel skills (or equivalent program)Possess intermediate project management skillsAbility to confidentially and discreetly handle subject matters requiring privacy and sensitivityAbility to determine needs and identify solutionsAbility to develop and maintain relationships with key contacts to enhance work flow and qualityAbility to collaborate, persuade and gain cooperation and acceptance of ideas on significant projectsPossess sensitivity to respond appropriately to the needs of the students and the communityCOMPETENCIESCRITICAL COMPETENCIESCollaboration CommunicationAdaptabilityVERY IMPORTANT COMPETENCIESService FocusQuality of WorkIMPORTANT COMPETENCIESTime UtilizationContinuous ImprovementPERFERRED QUALIFICATIONSEDUCATIONAND EXPERIENCE/TRAININGDemonstrated experience as an assistant registrar or registrar or progressively responsible experience in admissions or financial aid or enrollment managementDemonstrated direct experience in admissions processing and student record keeping Demonstrated experience with Ellucian Banner student system Demonstrated experience with Ad Astra Scheduling softwareKNOWLEDGE,SKILLS and ABILITIESPossess knowledge of national, state, and local rules and regulations related to student educational records and graduation certificationPossess knowledge of Ohio Board of Regents transfer articulation processesPossess knowledge of Cuyahoga Community College graduation requirements and articulation agreementsAbility to research and analyze issues and develop solutionsPHYSICAL DEMANDS/WORKING CONDITIONS(The demands described here are representative ofthose that must be met by an employee to successfully perform the essential functions of this job. However, there may be some walking; standing; bending; carrying of light items such as papers, files, pamphlets, books, etc.;Work may also require walking and standing in conjunction with travel to and attendance at meetings and conferences away from the worksiteTarget Starting Salary Range: $65,000 to $75,000The final offer for the successful candidateis targeted to fall within this range but will be based upon an assessment ofinternal equity, the unit's available budget, and the candidate'squalifications in relation to the minimum and/or preferred jobrequirement(s). Special Note: If hired, you must reside in the state of Ohio and be within commuting distance of this work location/campus to respond to onsite work demands upon the employment start date and throughout the duration of your employment with the College, as outlined in 3354:1-40-01.1 Recruitment and Selection Procedure.
