OVERVIEW The Business Services Specialist (BSS) is an integral part of the Business Services Team (BST) and reports to the Supervisor, Business Services. BST provides advanced application and document support for lawyers and professional staff in all offices. Using Windows 10, Microsoft 365, Adobe, and other software tools, the team creates and corrects complex legal documents, spreadsheets, and presentations, as well as marketing material and other firm content. BST efficiently and accurately proofreads documents, presentations, and various communications, both digital and print, in accordance with in-house style guides and usage manuals. BST ensures the accuracy of department work product, including revisions, original input, and conversions. Additionally, BST will have the opportunity to contribute to various firmwide initiatives in close coordination with departments such as Finance, Marketing, and Operational Excellence. This is a non-exempt hybrid position in either the Los Angeles or San Francisco office working 4 days in the office and 1 day remotely. The hours are 9:00 am - 5:30 pm PST, Monday through Friday. ESSENTIAL JOB FUNCTIONS * In accordance with in-house or court- or client-specific style guides and usage manuals, efficiently and accurately proofread documents, presentations, and various firm communications. * Using Windows 11, Microsoft 365, Adobe, and other applications, create or correct complex legal documents, spreadsheets, and presentations according to specifications. * In accordance with in-house and court specific guidelines, prepare California pleadings and have an understanding and knowledge of California court filing rules and guidelines. * In collaboration with other professional teams, develop, edit and assist with print and digital communications and content. * Machine translate or transcribe documents, audio recordings, and videos. * Convert and clean up PDFs. * Generate comparisons via Litera Compare. * Proactively support lawyers, paralegals, and professional staff by anticipating needs and proposing solutions COMPETENCIES * Demonstrable ability to absorb and apply nuanced instructions and document-specific style and usage rules,often in little time, while maintaining accuracy * Ability to work well under pressure * Ability to work independently being self-directed and working well in a remote team environment * Advanced Microsoft 365 skills, including but not limited to: o Styling documents; o Expert skill set in creating TOCs and TOAs; o Understanding California pleading preparation; o Working with Slide Master and templates, data and graphs, and brand-compliant icons and images in PowerPoint; and o Using advanced functions, generating pivot charts and tables, and utilizing V-LOOKUP in Excel * Project Management skills QUALIFICATIONS & REQUIREMENTS * Advanced Office 365 including SharePoint * Knowledge of California court filings required * Adobe Creative Cloud proficiency preferred * Familiarity with The Chicago Manual of Style, The Redbook, Black's Law Dictionary, and similar authorities preferred * Ability to use and read proofreaders' marks preferred * NetDocuments or similar document management system * Asana or similar project management applications * Able to work overtime as needed * College degree or equivalent work experience Disclaimer Additional Duties This job description is intended to provide a general overview of the primary duties and responsibilities for the position. The anticipated pay range for this role is $78,000 to $96,000 in Los Angeles and Century City as follows: * 2-5 Years of relevant experience: $78,000 - $83,000 * 6-10 years of relevant experience: $84,000 - $89,000 * 10+ years of relevant experience: $90,000 - $96,000 The actual offered rate for this position will be determined based on several factors, including qualifications and experience, geographic location, education, external market data, and consideration of internal equity.
