**JOB DESCRIPTION****Job Title: Special Events & Donor Engagement CoordinatorJob Code: 880395**Immediate Supervisor: Director of Foundations Operations Status: Non-Exempt **DEPARTMENT FUNCTION/JOB OVERVIEW**Responsible for development, coordination and oversight of Madonna Foundation major fundraising and friend-raising events. Includes event logistics and production with a focus on pursuit of and tracking of sponsorships and attendees, auction items, as well as assisting with identifying and recruiting chairs, committee members and honorary chairs. Develop event timelines and tasks to achieve Foundation goals. Guide event projects proficiently from planning through implementation and follow-up reporting. Primary point of contact for questions and information related to events.Assists with the coordination of consistent data production for all of the Foundation's internal and external audiences to include events, publications, website pages, Christmas cards, tax letters, major donor acquisition and planned giving programs. Contributes to the development and implementation of the strategic plan, including event creative concepts, placement schedule and budget, with a focus on achieving successful outcomes. Assists in the development and refinement of strategies for securing gifts and grants in support of Madonna Rehabilitation Hospitals' philanthropic needs to include prospect identification, cultivation, stewardship, solicitation, collaboration and coordination with the specific event committee and the Foundation's and Hospitals' staff.Must demonstrate effective communication skills and the ability to work cooperatively with donors, maintaining quality relationships through communications . Requires self-direction and prioritization. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/ external donor relations for the department and Madonna Rehabilitation Hospitals as a whole, including upholding the mission and values for the department and facility. **ESSENTIAL FUNCTIONS** 1. Executes strategies and plans for fundraising events and programs based on Foundation goals and objectives, including allocation of resources and coordinating with other Foundation team members. 2. Plans and coordinates events and functions. 3. Through event management and registration, coordinates with Director of Operations and Donor Relations Associate for CRM accuracy. 4. Identifies timelines and monitors deadlines providing updates to applicable Committees and staff to ensure timeliness. 5. Prepares reports, memos, correspondence on projects as assigned, maintaining a high degree of accuracy and neatness. 6. Tracks invoices and expenses and reports regularly on fiscal status of projects and events in coordination with the Vice President of Development and Director of Operations. 7. Assists in the planning, development and implementation of donor recognition activities. 8. Engages in development activities to stay abreast of current developments in the fundraising profession. 9. Assists in answering Foundaton phone lines and general contact inquiries. 10. Perceives donor relations as a primary focus, and continually strives to meet the needs of each donor. Interacts with others in a respectful, compassionate and professional manner. 11. Identifies and recruits Committee members and honorary chairs for signature events. 12. Coordinates fundraising events/activities with other development officers. 13. Negotiates with vendors, volunteers, and others effectively to achieve successful outcomes. 14. Assists other Foundation staff in identifying, cultivating and maintaining strong relationships with potential donors. 15. Responds to inquiries and shares information in a timely and appropriate manner. 16. Collaborates with others internally and externally eliciting understanding and clarity in roles and responsibilities and deadlines for tasks. 17. Liaison between vendors and internal staff/departments. 18. Oversees volunteers for events. 19. Follows instruction from supervisor to perform other functions as assigned in order to achieve the goals within the department and/or system. 20. Operates computer to perform word processing, spreadsheet functions and presentation software. 21. Must be able to operate standard office equipment . Must be proficient with computer skills, including e-mail, word processing, presentation, spreadsheet functions and Raiser's Edge. 22. Develops Power Point and other presentation and report materials effectively through use of appropriate equipment.Assists with equipment set-up for facility meetings and events, internally and externally. 23. Responsible for managing inventory of materials and supplies for events. 24. Provides own transportation and travels as necessary in order to contact and serve donors. 25. Maintains and ensures a safe work environment for the department. Handles and operates all necessary equipment and performs required duties according to established safety standards to maintain compliance with regulations and prevent injury. **PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS**External work, with traveling associated functions and meetings away from the facility. May require occasional overnight travel. Some indoor, sedentary work. Occasionally lifts and carries up to 30 pounds when transporting supplies/materials. Exemplary speaking and hearing skills. Requires sufficient sight to see and read reports and computer screen. Requires sufficient hearing and speaking to communicate by telephone or in person. Some exposure to chemicals. Mobility required to travel to off-site events or meetings on a frequent basis.**QUALIFICATIONS** (Education/training and/or Experience)Bachelor's degree in Philanthropy, Marketing, Journalism/Public Relations or Business Administration preferred. Three years applicable work experience in project coordination/organization/management required, preferably with in fundraising or event planning. Additional applicable work experience may be considered in lieu of formal education. Must have demonstrated work experience as a self-starter, with successful outcomes. Must be able to work creatively and collaboratively with staff, volunteers, donors and potential donors. Demonstrates the ability to handle multiple projects and details simultaneously.Proven effective written and munication skills required. Must have strong organizational skills to produce high quality products under pressure and tight deadlines. Technical expertise working on computers, the internet, spreadsheets, desktop publishing, word processing and Raiser's Edge required. Must have demonstrated experience with problem-solving and analytical ability to allow for independent decision-making. Must be able to work in public contact with high profile individuals and possess social poise. Requires tact, diplomacy and a clear, courteous and professional manner when dealing with others. Must have current driver's license and provide current driver's abstract reflecting a good driving record.Background checks are conducted.When specific authorization forms are requested so that full background and history can be obtained, employees/applicants must sign the form(s) requested.
