Job Overview We are seeking a dedicated and highly organized Front Desk Coordinator to serve as the first point of contact for our office. The ideal candidate will have excellent communication skills, a professional demeanor, and a proactive approach to office operations. This role is essential to ensuring smooth daily operations, delivering exceptional customer service, and maintaining an organized and efficient administrative environment. The successful candidate will be comfortable managing a busy front desk, handling multi-line phone systems, supporting administrative functions, and assisting leadership with daily office tasks. Schedule: Monday Friday | 7:55 AM 5:05 PM (In Office) Key Responsibilities Greet visitors and clients warmly while providing exceptional customer service and creating a positive first impression Manage a multi-line phone system, directing calls accurately and maintaining professional phone etiquette Schedule appointments and manage calendars using tools such as Microsoft Office and Google Workspace Perform data entry, filing, and document proofreading to maintain accurate and organized records Assist with clerical tasks including copying, scanning, and preparing reports or correspondence Coordinate with team members to support communication and workflow across departments Support daily administrative tasks provided by the VP of Human Resources Assist with managing benefits administration for field staff Maintain office supply inventory and place orders as needed Help coordinate team lunches and assist with maintaining a clean and organized office environment Qualifications Previous experience in office administration, receptionist roles, or clerical work in a professional setting Strong computer proficiency including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry systems Excellent organizational and multitasking skills in a fast-paced office environment Experience operating multi-line phone systems and managing front desk responsibilities Strong customer service skills and professional communication abilities Bilingual skills are highly desirable to assist with diverse client interactions Experience with bookkeeping software such as QuickBooks is a plus but not required Previous experience in a medical or dental office is advantageous Experience supporting executives, HR teams, or office leadership is a plus What Were Looking For Highly organized and detail-oriented Professional and dependable Friendly and approachable with strong communication skills Ability to multitask while maintaining a high level of accuracy Pay: $19.00 - $22.00 per hour Benefits: 401(k) Dental insurance Health insurance Paid time off Vision insurance Work Location: In person
