CESER leadership maintains critical communications with department leaders, energy sector stakeholders, White House officials, legislative staff, and foreign dignitaries. This position provides comprehensive daily administrative support to one or more senior-level managers or department heads within CESER, including the Director, Principal Deputy Director, Chief Operating Officer, and Division Deputy Directors. The role maintains a consistent presence at the CESER Front Desk during regular business hours, serving as the primary point of contact while executing core administrative functions across Administration Management, Executive Administrative Functions, Executive Scheduling, and Executive Timekeeping Management to support CESER's critical national security mission.Key Responsibilities:Core Administrative Functions: Provide comprehensive daily administrative support to one or more senior-level managers or department heads Maintain consistent presence at CESER Front Desk during regular business hours (8:00 AM - 5:30 PM), acting as primary point of contact Execute core administrative functions across four key areas: Administration Management Executive Administrative Functions Executive Scheduling Executive Timekeeping Management Meeting and Documentation Management: Record, organize, and distribute meeting minutes for assigned executives and teams Prepare correspondence, reports, memoranda, spreadsheets, and presentations using MS Office Suite Review documents for proper format, grammar, and accuracy before signatures Send thank you emails to presenters and special attendees within 3 business days following meetings Routine Administrative Support: Manage routine administrative tasks on continuous basis to support departmental missions Coordinate official travel in compliance with Federal Travel Regulations (FTR) Provide asset tracking and management support Coordinate secured meetings and events Handle reception duties including answering telephones, greeting visitors, and managing visitor policies Monitor and track correspondence to ensure suspense requirements are met Maintain filing systems and databases in accordance with approved guidelines Operational Support: Arrange conference rooms, teleconference lines, and transportation for meetings Perform setup for Video Teleconferences (VTCs) Handle routine duplication and coordinate with DOE Reproduction for larger jobs Maintain inventory of office supplies and Government Furnished Equipment (GFE) Submit travel vouchers within 5 business days of travel conclusion Required Qualifications:Education: Bachelor's degree in Business, Organizational Communications, Political Science, Management, or related field from an accredited college or university Advanced degrees may be substituted for years of experience required Experience: Minimum 6 years of total professional experience At least 5 years of relevant Government work experience Experience in executive-level administrative support, preferably supporting senior management officials equivalent to Senior Executive Service/GS-15 level and above Technical Skills: Proficiency working in MS Windows environment Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) Ability to draft Word documents and PowerPoint presentations for federal review Ability to utilize Excel to track and review data and perform analysis for federal use Knowledge of Concur Government Edition for travel management services preferred Core Competencies: Demonstrated ability to be self-directed and take initiative Ability to anticipate and address needs proactively Proven ability to see projects through to completion Ability to follow oral and written directions to complete assigned duties Strong organizational and time management skills Applicable Skills: Strong written and verbal communications skills Multitasking capabilities Problem-solving abilities Prioritization of tasks Ability to effectively interact with staff and constituents Communication Requirements: Ability to read, write, understand, and communicate fluently in English English shall be the only language used for all business transactions Security Requirements: U.S. citizenship required (or lawfully admitted permanent resident with appropriate immigration documentation) Must pass background investigation for Personal Identity Verification (PIV) card Ability to handle sensitive information with appropriate discretion Must pass background investigation for PIV card access Preferred Prior Experience: Correspondence Management C-Suite Task Management Prior experience with DOE preferred but not required Performance Standards: Work products require no more than 3 iterations to complete Maintain indexed decision logs for all actions Provide uninterrupted front desk coverage during business hours Submit travel vouchers within 5 business days of completion Deliver meeting minutes within 24 hours of meeting completion Our Equal Employment Opportunity PolicyThe company is an equal opportunity employer.
