Job Description

Accounts Receivable Specialist Process and manage student account transactions, including billing, payment application, and account adjustments. Apply payments and prepare deposits for non-student accounts receivable. Administer third-party billing, including invoicing, tracking, reporting, payment posting, and collections. Collect and follow up on past-due accounts using phone, email, written correspondence, and other communication methods. Submit delinquent accounts to third-party collection agencies and track collection activity. Review and adjust accounts for returned payments, deposits, and refunds. Assist with processing student refunds and financial aid disbursements. Validate and process account charges such as tuition, housing, meal plans, fees, and fines. Support special billing programs (e.g., international students, veterans, course adjustments). Perform cashiering duties including: receipt all collected funds to general ledger, student accounts, Faculty Meal Plan transactions including credit card payments, balance daily receipts, prepare bank deposits, distribute student refund checks, receipt/distribute after-hours drop box contents, assist with opening and closing procedures, including door security, cash drawers, and systems. Provide responsive and professional service to students, parents, faculty, and staff. Counsel students and families on payment options and assist with payment plan setup and maintenance. Address account-related inquiries and resolve issues in a timely manner. Ensure compliance with FERPA regulations. Work closely with departments such as Registrar, Financial Aid, Admissions, Student Services, Housing, and Food Services. Assist with Business Office communications, including website updates, emails, and printed materials. Perform other duties as assigned by the Accounts Receivable Manager. Education and/or Experience: High School diploma or equivalent required. Previous experience with students in a higher education environment preferred. Accounts receivable, billing, banking, cashiering, or collections preferred. Technology Skills: Proven computer and keyboard skills. Experience with software applications. Proficient in Microsoft Office applications; Outlook, Word and Excel. Ability to create and maintain Excel spreadsheets. Interpersonal Skills: Strong customer service and communication skills (verbal and written). Ability to maintain confidentiality and professionalism. Strong attention to detail and organizational skills. Ability to multitask and work independently. Ability to interact effectively with diverse populations. Able to multi-task. Candidates must be willing and able to support and advance the University mission. Professional demeanor and strong work ethic. Attention to detail. Ability to add, subtract, multiply, and divide. Ability to work occasional weekend hours during student orientation and move-in days. Physical Demands: Ability to sit or stand for extended periods. Ability to frequently alternate between sitting and standing. Ability to lift and carry up to 10 pounds. Compliance: Employees may be required to report violations of law under Title IX and the Jeanne Clery Disclosure of Campus Security Policy and Crime Statistics Act (Clery Act).
