Now we're seeking a Fleet Manager who can build strong systems, protect our people, and ensure our vehicles power the mission reliably and responsibly.Reporting RelationshipReports to the Chief Program OfficerDirect reports: None initially (with potential to build fleet support team)Other key relationships:Regional Operations Leads (PA, NY, NJ, IL)Warehouse & Site ManagersFinance TeamPeople & CultureThird-Party Logistics (3PL) PartnersRole HighlightThe Fleet Manager will oversee the safety, compliance, and operational excellence of Sharing Excess's multi-state fleet. Based in Philadelphia and supporting operations across Pennsylvania, New York, New Jersey, Illinois, and future national sites, this role ensures that our vehicles, drivers, and systems meet the highest standards of safety and regulatory compliance.You will build and manage fleet systems that support growth, protect our team, and strengthen our operational backbone. From DOT compliance and driver qualification files to preventative maintenance and telematics, you will create consistency across all markets. You will also manage 3PL relationships, ensure vendor accountability, and develop scalable systems that support our rapid expansion.This role is ideal for someone who combines regulatory rigor with entrepreneurial problem-solving - someone who can build structure while keeping pace with a fast-moving organization.Responsibilities IncludeFleet Compliance & SafetyEnsure compliance with all applicable Federal Motor Carrier Safety Administration (FMCSA), Department of Transportation (DOT), Department of Labor, and state regulationsMaintain driver qualification files and all required compliance documentationOversee vehicle inspections, maintenance logs, and audit readiness across multiple statesManage incident reporting, accident investigations, and corrective action plansImplement and monitor fleet-wide safety standards and training programsOversee drug and alcohol testing programs and ensure regulatory adherenceFleet OperationsManage preventative maintenance schedules and vehicle lifecycle planningOversee vehicle registration, licensing, insurance, and documentationMonitor telematics, fuel usage, and fleet performance dataDevelop cost-control strategies to improve efficiency and reduce downtimeSupport fleet growth planning, including vehicle acquisition and replacement strategyTraining & Systems Development Develop standardized onboarding and driver training programsCreate and maintain fleet SOPs, safety manuals, and compliance documentationEnsure consistent operational standards across all locationsPartner with site leads to implement best practices and drive accountabilityBuild scalable systems as fleet operations expand nationallyThird-Party Logistics (3PL) ManagementOversee relationships with third-party logistics providersMonitor service-level agreements (SLAs) and performance metricsSupport vendor evaluation, contract negotiation, and performance reviewsEnsure 3PL partners meet compliance and safety standards aligned with Sharing Excess expectationsBudget & ReportingDevelop and manage the fleet budgetTrack KPIs including cost per mile, maintenance costs, fuel usage, downtime, and incident ratesProvide regular reporting and insights to senior leadership Identify trends and recommend improvements based on operational dataYou'll Have:2-5 years of fleet management or logistics operations experienceStrong knowledge of DOT, FMCSA, and multi-state compliance requirementsExperience managing safety programs and regulatory documentationExperience working with third-party logistics providersStrong organizational and documentation skillsAbility to work cross-functionally with operations and leadership teamsWillingness to travel regionally as neededIt's Amazing If You Also Have:Experience in nonprofit or mission-driven logisticsExperience scaling fleet systems in a growing organizationExperience with fleet management software and telematics platformsCDL or experience managing CDL driversStrong data analytics skills and comfort working with operational dashboardsYou'll be Successful If:You take safety personally.
