Metro Transit's Bus Operations division has an exciting opportunity for current King County Employees to join the team as a Transit Administrative Support Specialist III (TASS III) in a Special Duty Assignment (SDA) position at Ryerson Base. Anticipated Special Duty Assignment (SDA) Duration Up to 6 months, with the possibility of extension. The TASS III position provides high-level customer service and administrative support to Metro employees, internal customers, and division leaders within Bus Operations. They are responsible for a number of daily HR-related tasks such as: ensuring timely and accurate payroll processing, submitting updates to employee job information, tracking Transit Operator attendance, providing written correspondence to operators and union representatives, as well as maintaining spreadsheets, databases, and confidential information. The TASS III's positions also serve as a point of contact on policies, procedures, and processes, so candidates must be highly attentive to detail to be able to navigate complex policies and labor contracts. The ideal candidate is highly organized and proactive, has outstanding customer service skills, and enjoys making a positive impact through administrative support. Note: This recruitment will be used to fill one (1) Special Duty Assignment (SDA) Transit Administrative Support Specialist III position with an anticipated duration of up to 6 months at Metro's Ryerson base. This recruitment will also be used to generate a 12-month eligibility list to fill future vacancies within Bus Operations as they occur. Job Duties Applying equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. As a TASS III, you will: * Maintain confidential manual and automated records including personnel files, contract timelines, payroll, and Peoplesoft HR data including hire dates, probation timelines, automatic step increases, and temporary staff. * Manage employee data updates and personnel actions, ensuring accurate processing, tracking, and compliance with organizational policies. * Provide document management including maintaining Master Files and program contracts, scanning personnel records into Laserfiche, and ensuring proper retention schedules and established naming conventions are followed. * Process in-office mail, order supplies, receive packages, and distribute them. * Track FMLA/KCFML/Paid Parental Leave usage and time balances; track and record attendance; maintain disciplinary action records as required in compliance with negotiated labor agreements; safeguard confidential information relating to terminations, discipline, drug testing, and other personnel actions. * Manage office supplies, gear, and asset inventory; oversee surplus distribution and leased equipment coordination; process shoe vouchers in alignment with labor agreements. * Be responsible for purchasing, records entry, and reconciliation of P-card transactions processed through Oracle iExpense. * Process mail by retrieving, opening, sorting, and attaching related documents for distribution. * Create and maintain a variety of spreadsheets, databases, and reports for specialized information. * Develop and maintain lists of active projects, contracts, purchase agreements, or other program-specific information, process, and track invoices for payment. * Track and ensure timely processing of grievance procedures, contract requirements, and next steps; schedule disciplinary meetings and hearings; prepare and distribute hearing summaries in compliance with negotiated labor agreements. * Perform timekeeping and payroll functions, ensuring accurate processing and auditing. * Plan and coordinate special programs, recognition awards, and promotional events, such as Transportation Safety Institute (TSI) hosting and Safety Award Program. * Serve as a primary point of contact for staff with questions on County and Transit Division policies, procedures, and processes. Disseminate information on changing policies, processes, and procedures. * Other duties as assigned. Experience, Qualifications, Knowledge, Skills We are looking for candidates who have the following minimum qualifications: * A minimum of two years' experience providing progressively responsible, independent administrative support for a group or team of professional, technical, or management staff OR an equivalent combination of education and experience that demonstrates the necessary skills, knowledge, and abilities required to perform the work * Proficient in oral and written communication, including drafting, proofreading, editing, and finalizing a variety of business and technical documents with attention to grammar, punctuation, and spelling. * Skilled in maintaining strict confidentiality and handling sensitive data and information, using initiative and sound judgment to prioritize and manage confidential requests and inquiries involving internal and external stakeholders. * Consistently punctual and dependable with a strong attendance record; able to work independently, exercise good judgment, take personal responsibility, and demonstrate organized and proactive problem-solving and research skills. * Detail-oriented with strong analytical skills including data entry, verification, and error reconciliation. * Efficiently produces work under tight deadlines, multitasks effectively amidst frequent interruptions, and manages competing priorities with sensitivity and composure under pressure. * Demonstrated ability to adapt in dynamic, ambiguous environments while managing high volumes of diverse tasks, multitasking under pressure, and maintaining accuracy and attention to detail. * A well-developed understanding of equity and social justice principles and/or supporting projects that integrate equity and social justice into program design and workplace culture. * Proven ability to build respectful, cooperative, and equitable relationships with diverse colleagues, stakeholders, and customers using tact and diplomacy. * Demonstrated ability to work effectively both independently and in a team setting, encouraging open communication, collaboration, and positive professional relationships. * Proficient in leveraging technology tools, including skilled in Microsoft Office Word, SharePoint, Excel, PowerPoint, Outlook, and digital document management systems such as Laserfiche, DocuSign, and Acrobat. Highly competitive candidates will also have (desired, but not required): * Knowledge of King County Family and Medical Leave, Family and Medical Leave Act, and other HR leave statuses and general human resources processes and procedures. * Experienced in payroll processing operations and legal requirements, with the ability to quickly learn and utilize payroll and timekeeping software applications. * Experience working with union representatives, tracking grievance deadlines, and maintaining confidentiality. * Familiarity and experience with King County policies and procedures. * Expert proficiency with PeopleSoft, or similar payroll and time-keeping software. * Experience with ORACLE EBS, or similar financial and procurement software. * Experience with HASTUS, or similar attendance tracking software.
