Job Description

We are seeking a proactive, patient-centered Clinic Experience Lead to support day-to-day operations and deliver a seamless, high-touch patient experience. This is a player-coach role, with approximately 70% hands-on execution and 30% team support and operational coordination. You'll be deeply involved in the daily flow of the clinic while serving as the go-to resource for the administrative team. You will work closely with the Founder, COO, and Business Development Manager, helping ensure the clinic runs smoothly, efficiently, and with a strong focus on patient care. We use in-depth testing including microbiome, genomics, and hormone testing routinely, and we prioritize longer appointment times with patients so you are able to spend meaningful time with your patients becoming their partner in health. DescriptionWhat You'll DoDaily Operations & Patient ExperienceManage front desk operations, including patient check-in/check-out and schedule flowAnswer patient phone calls, texts, and portal messages with professionalism and timelinessCreate a welcoming, hospitality-driven clinic environmentMaintain clinic cleanliness, organization, and readiness throughout the dayServe as the first point of escalation for patient concerns, resolving issues with professionalism and empathy.Team Support & OversightSupport and guide administrative team members, including patient coordinators, receptionist, and virtual assistantsAssist with onboarding and training of new team membersProvide real-time feedback and escalate performance concerns as neededServe as the go-to point person for day-to-day operational questions and issue resolutionScheduling & Flow CoordinationSupport provider schedule management to optimize utilization and minimize gapsProactively reduce no-shows and late cancellations through patient communicationTroubleshoot day-of scheduling issues and maintain smooth clinic flowProvider & Patient CoordinationServe as the primary coordination lead for a small subset of providersEnsure a seamless end-to-end patient experience, including scheduling, follow-ups, and communicationIdentify gaps in the patient journey and collaborate with leadership to improve workflowsModel best-in-class patient coordination for the broader teamInventory & SuppliesManage supplement inventory, including tracking, ordering, and organizationMaintain appropriate stock levels while minimizing wasteSystems & Process SupportIdentify workflow inefficiencies and collaborate with leadership on improvementsHelp implement and maintain standard operating procedures (SOPs)Support consistency across all patient touchpoints (in-person and virtual)Performance TrackingTrack and report on key operational metrics and support improvement efforts, including:Schedule utilizationResponse times to patient inquiriesPatient satisfaction and retentionWhat We're Looking For1-3 years of experience in healthcare operations, hospitality, or a similar client-facing roleHighly organized with the ability to multitask in a fast-paced environmentStrong communication and interpersonal skillsA hands-on, "lead by example" mindsetExperience supporting or guiding a team is a plusEHR experience and familiarity with HIPPA and healthcare privacy practices Compensation & Benefits$65,000-$75,000 annually, depending on experienceUp to 10% annual performance-based bonus tied to:Overall company performance relative to budgetSchedule utilization and clinic efficiencyPatient retention and experience metricsAccess to integrative care at MIMCSimple IRA with employer match Employee discounts on supplements, IV therapy, and in-clinic servicesPaid time off (PTO) to support rest, recovery, and balancePaid holidaysA collaborative, mission-driven environment where your work directly contributes to patient outcomes and experienceOpportunity for growth within a developing and evolving operations teamPlease note: We do not currently offer a traditional medical or dental insurance package outside of care provided at MIMC.Why This RoleThis is an opportunity to step into a meaningful leadership role while staying close to the day-to-day patient experience.
