SUMMARY OF OPPORTUNITY: The Health Services Specialist plays a critical role in ensuring the efficient administration and management of health services programs for the school district. This position is responsible for overseeing the coordination of vaccine distribution, ensuring compliance with health regulations, and providing administrative support for the health services department. The ideal candidate will possess strong organizational, communication, and problem-solving skills, along with a deep understanding of vaccine protocols, public health best practices, and the Vaccines for Children (VFC) program. WHAT YOU'LL DO: The following outlines what your core duties and responsibilities will be for this position and provides a sample overview of what your day-to-day may look like. Core Duties and Responsibilities ● Plan, organize, and execute vaccination campaigns for students and staff in alignment with district health policies and public health guidelines. ● Collaborate with healthcare providers, clinics, and community partners to facilitate vaccine clinics and ensure availability. ● Maintain accurate and up-to-date records of vaccinations administered to ensure compliance with state and federal regulations. ● Ensure all vaccination efforts are in compliance with local, state, and federal health regulations, including reporting requirements. ● Ensure accurate and timely documentation of vaccine records in CHIRP and SchoolCare, in accordance with state law and IPS protocols ● Track vaccination rates and prepare regular reports for school administration and public health authorities. ● Maintain confidentiality and ensure the security of vaccination records in accordance with health privacy laws (e.g., FERPA, HIPAA). ● Prepare for and oversee audits related to the Vaccines for Children (VFC) program, ensuring compliance with all Indiana Department of Health (IDOH) requirements. ● Review VFC program records regularly to ensure accuracy and completeness in preparation for audits. ● Coordinate with district staff, school nurses, and other stakeholders to ensure all required documentation and practices are in place for successful VFC audits. ● Work with the IDOH during audits to respond to inquiries and provide necessary documentation and data. ● Manage vaccine inventory, ensuring adequate supply and proper storage of vaccines. ● Organize vaccine clinics within the school district, including scheduling, staffing, and ensuring all safety protocols are followed. ● Coordinate transportation and logistical arrangements for mobile vaccination units, if applicable. ● Serve as the main point of contact for students, parents, and staff regarding vaccine-related inquiries and concerns. ● Remain up to date on all required state, federal and local requirements for vaccines in school-aged children. ● Develop and distribute vaccine-related materials to educate the school community on vaccine schedules, benefits, and safety. ● Provide training, support, and guidance for school located vaccine coordinators. ● Coordinate communication efforts between school leadership, health professionals, and the community to promote vaccine awareness and encourage participation. ● Work closely with district health services, school nurses, and other stakeholders to identify vaccine needs and ensure the timely delivery of vaccines. ● Provide support to students and parents in addressing any barriers to vaccination, including transportation or language challenges. ● Collaborate with local health departments and other agencies to stay informed about new vaccination requirements or updates. ● Attend training and presentations related to vaccines and vaccine management. ● Supports the Sr. Coordinator of Health Services with supply ordering. ● Supports the Health Services Operation Coordinator with state reporting requirements. ● Supports schools with scheduling vision, dental and hearing screenings in collaboration with the health department and SLP team. ● Perform duties assigned by the Sr. Coordinator of Health Services and Director of Health Services. "Day In the Life" Overview On a regular day, as the Vaccine Coordination Specialist you might: ● Support the coordination of a school based vaccine clinic ● Discuss vaccination requirements with a parent ● Provide vaccine data for school admin ● Complete vaccine record entry into CHIRP ● Manage vaccine inventory ● Attend a vaccine related training course ● Collect consent and insurance information from a parent ● Monitor and track vaccine storage temperatures WHAT YOU'll BRING: SKILLS AND MINDSETS: As an ideal candidate for this role, you will be able to achieve the following: ● Strong understanding of vaccine protocols, schedules, and regulatory requirements. ● Familiarity with the Indiana Department of Health (IDOH) requirements for the VFC program. ● Excellent communication skills, with the ability to interact effectively with diverse populations, including students, parents, healthcare providers, and school staff. ● High level of organization and attention to detail, with the ability to manage multiple tasks and prioritize effectively. ● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management. ● Proficiency in Google Docs. ● Ability to maintain confidentiality and adhere to privacy laws, including HIPAA. EDUCATION, CERTIFICATION, AND LICENSURE REQUIREMENTS: ● At least 2-3 years of experience in a healthcare or public health setting, with a focus on vaccine coordination or related responsibilities. ● Previous experience working in a school or district-level health services environment is preferred. ● Experience with the VFC program and preparing for or overseeing audits is highly desirable. ● Certification in public health, healthcare administration, or immunization practices is a plus.
