Job Profile Summary The Assistant Director supports the Senior Director of the HealthPro (Nursing Expansion) Grant in the comprehensive management, implementation, and compliance of the program. This role oversees daily operations, programmatic and financial reporting, data integrity, student engagement initiatives, and strategic activities that advance the grant's mission to expand healthcare certifications and licensure pathways. The Assistant Director collaborates with students, faculty, administrators, and external partners to strengthen student success, retention, and completion outcomes. Minimum Education * Bachelor's degree required. * An equivalent combination of education and experience may be considered. Minimum Experience / Training * Five years of related experience. * Experience with grants, marketing, recruitment, and working with students in a higher education setting preferred. * Workday experience preferred. * Experience with data management is preferred. * Experience managing financial accounts and purchasing processes preferred. Essential Functions: Program & Operational Leadership - 30% (Daily) * Assist the Senior Director in the daily oversight and administration of the HealthPro Grant program and office operations. * Represent the program in meetings and presentations as needed. * Foster a collaborative, team-oriented environment. Student Engagement & Retention * Lead the development of retention and re-engagement strategies to support student persistence and academic success. * Implement data-informed interventions to maximize student retention and completion. Marketing & Recruitment * Develop and support marketing strategies to recruit and retain students in HealthPro certification pathways. * Promote program participation and career advancement opportunities. Research & Strategic Initiatives * Manage research projects from design through analysis and presentation. * Use quantitative and qualitative methods to inform program improvements and resource allocation. * Develop strategies to address student barriers related to certification, nursing expansion, and employment pathways. Performance Reporting & Data Systems - 10% (Daily) * Plan, coordinate, and manage grant performance reporting and budget documentation. * Maintain electronic performance data in Smartsheet and the DOL's WIPS system. * Ensure data accuracy for audits and compliance reviews. Policy, Compliance & Procedures - 10% (Ongoing) * Contribute to the development and implementation of grant-related policies and procedures. * Support compliance efforts aligned with accounting, reporting, and regulatory requirements. Grant Accounting & Systems Management - 10% (Ongoing) * Assist with grant accounting functions in Workday and related web applications. * Support financial tracking, reconciliation, and documentation processes. Data Analysis & Financial Monitoring - 10% (Ongoing) * Review, analyze, and interpret program and financial data. * Monitor compliance with funder requirements, regulatory standards, and institutional policies. Budget Oversight & Forecasting - 10% (Monthly) * Ensure grant funds are expended appropriately and in alignment with budget plans. * Analyze spending rates and forecast year-end expenditures. * Prepare required financial reports. Purchasing and Procurement Management - 5% (Monthly) * Handle purchasing and procurement transactions. * Manage and evaluate monthly and quarterly invoices for accuracy and compliance. Budget Reporting - 5% (Monthly) * Complete monthly budget reports, including general ledger monitoring and Smartsheet compliance updates. Audit Preparation - 5% (Annually) * Support federal audit preparation and compliance activities related to the HealthPro Grant. Other Duties - 5% * Perform additional responsibilities as assigned in support of the grant. Knowledge, Skills and Abilities: * Models inclusive excellence through specific actions that support the College's mission in the recruitment, hiring, and retention of talented and diverse staff. * In-depth knowledge and hands on expertise in area of specialization and related areas of the College, and pertinent interdependencies * General understanding of the external environment and how it affects academia in general * Strong knowledge of College structure, policies and practices, and the impact on own area * Proven expertise in executing operational plans, managing projects and/or programs, budgeting, cost control and delivery of results * In-depth managerial and team building skills, and demonstrated ability to motivate and empower direct and indirect reports to achieve area priorities * Ability to partner with others across the College and externally to exchange information, collaborate on projects, share resources, etc. * May require negotiation skills and ability to reach mutual points of agreement and benefit among peers and colleagues * Advanced level technical skills for functional area required.
