We are looking for individuals who are proactive, detail-oriented, and genuinely passionate about delivering an elevated, seamless client experience.Key ResponsibilitiesManage all incoming and outgoing client communications via phone and text, ensuring timely and professional responses at all timesAnswer phone calls within 2 rings and respond to text messages within 3 minutes during business hoursCoordinate all aspects of client bookings, including scheduling, rescheduling, and cancellationsProvide accurate, knowledgeable, and friendly responses to client inquiries regarding services, products, and overall experienceDeliver a consistently high level of hospitality, ensuring every client feels welcomed, valued, and supportedMaintain detailed and up-to-date records of client interactions, appointment updates, and communication notes within booking and communication systemsAccurately update client personal notes with relevant information to support continuity of care and a personalized client experienceAdhere to CONTOR communication protocols, including tone, style, and etiquette, to maintain a cohesive and on-brand voiceProactively communicate with clients when needed, including appointment confirmations, reminders, and post-visit follow-upsIdentify, escalate, and assist in resolving client concerns, special requests, or service issues in a timely and professional mannerCollaborate closely with internal teams to communicate client updates, concerns, and operational needsHandle all client information with the highest level of confidentiality, discretion, and professionalismSupport communication initiatives related to events, service updates, and promotional offerings as directed by leadershipQualifications & SkillsStrong communication skills with a polished, professional, and friendly/warm demeanorExceptional attention to detail and organizational skillsAbility to multitask and manage high-volume communication efficientlyCustomer service or hospitality experience preferredStrong problem-solving skills and ability to remain calm under pressureAlignment with CONTOR's brand, values, and standard of excellence
