He/she will create event plans and diagrams, guide clients through the planning process and execution of the event. The Event Manager is responsible for ensuring overall customer and attendee satisfaction and experience.This role pays an annual salary of $44,000-$46,500Benefits for Full-Time roles: Health, Dental and Vision Insurance, 401(k) Savings Plan, 401(k) matching, and Paid Time Off (vacation days, sick days, and 11 holidays)This position will remain open until November 14, 2025.The Terre Haute Convention Center opened in the spring of 2022. It offers more than 12,000 sq. ft. of flexible ballroom space with the ability to seat up to 1000 attendees for a large general session or 700 for a formal dinner. With the flexibility of the space, planners have the ability to host a full conference with meals and breakout sessions. The convention center will have on-site catering, audio-visual services, professional event staff and event planning, and first-class service. Attendees from the region and afar will enjoy the convenience of the connected hotels and parking garages, making location and ease for guests more than ideal for conventions.Essential Job Functions (including to but not limited to):Plan, detail, and is on-site point of contact for clientCreate and distribute event resume sheets prior to every eventParticipate in production meetings to discuss upcoming eventsCreate event diagrams for clientsFunction as a liaison between users of the facility and the facility staffCoordinate Food and Beverage needs with the catering departmentAssist sales with event logistics for closing proposals Provide leadership and guidance for event personnel Work with outside vendors for scheduling equipment or building move in for event decoratingAnalyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectives.Communicate clearly and concisely in the English language, both orally and in writingEstablish and maintain effective working relationships with lessees/clients, co-workers, part-time staff, contractors, patrons/public and municipal officialsWork a flexible schedule, including long nights, early mornings, weekends & holidays as neededSchedule event security as needed Complete all duties with a customer service focus through teamwork & dedication to Oak View Groups principlesAssist in the preparation of room sets as needed to meet the requirements of upcoming events/showsAssist with the completion of pre-show event financial estimates as neededAssist with the completion of post-show event settlements and invoices Advise lessees on services available from independent contractors for eventsTrain with other event staff and train new event staff as they come onInvestigate and resolve event-related complaints in a professional manner ensuring customer satisfactionCommunicate with municipal officials, including police, fire and medical services, event staff and the public to ensure the security of patrons and events run smoothlyAssist with parking garage management as it pertains to eventsActively participate on internal committees and customer service programAssist marketing by obtaining event marketing materials as needed for events taking placeReview emergency planning procedures with all event staff and clients as neededServe as Manager on Duty as scheduledNonessential Functions:Experience with AutoCAD, Event Draw, or Social Table is preferred but not requiredCustomer Service OrientatedOther duties and responsibilities as assigned3-5+ years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility settingBachelor’s degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related fieldStrong oral and written communication skills Strong computer skills in Microsoft Office applications, word processing, and Internet Possession of, or ability to obtain, a valid drivers’ licenseKnowledge of operational characteristics of eventsAbility to identify the needs of users of the facilityKnowledge of crowd management and control techniquesKnowledge of customer service practicesKnowledge of principles of supervision, scheduling, and training employeesDemonstrated familiarity with facility use contractsKnowledge of fire and public safety regulationsKnowledge of A/V equipment and electronic systems in public assembly facilitiesFamiliarity with the terminology used in entertainment/convention/public assembly settingsAt OVG, we understand that to continue positively disrupting the sports and live entertainment industry, we need a diverse team to help us do it.
