JOB DESCRIPTION FOOD SERVICE-SECRETARY QUALIFICATIONS: 1. High School Diploma or equivalent. 2. Two (2) years of business secretarial skills training or equivalent work experience preferred. 3. Computer proficiency. KNOWLEDGE, SKILLS, AND ABILITIES: Ability to read and interpret State Board rules, School Board policies and appropriate state and federal statutes. Knowledge of general accounting principles and cash control standards. Knowledge of and skill in spreadsheets and other mainframe applications. Ability to work independently. Effective oral and written communication skills. Possess good mathematical skills. Ability to use office equipment, including computer, typewriter, calculator, copier, fax machine and other related equipment. Good oral and written communication skills exhibiting correct use of grammar, spelling, and business English. Knowledge of bookkeeping and basic mathematical skills. Knowledge of the operation and programs of the school system. Extensive knowledge of the operation and programs of the school. Ability to exercise independent judgment. Ability to deal effectively and courteously with students, parents, school personnel and the public. Ability to manage multiple tasks efficiently and effectively in stressful situations. REPORTS TO: Food Service Supervisor JOB GOAL To help the Director of Food Service with accounting for and reporting of food service activities and perform various delegated duties related to fixed assets. PERFORMANCE RESPONSIBILITIES: Service Delivery * 1 Assist with free / reduced price meal applications. * 2 Maintain and reconcile all daily and monthly reports for participation and collections for all meals served. * 3 Maintain and submit monthly reimbursement voucher claims for all meals served. * 4 Coordinate and reconcile all components for USDA commodities. * 5 Reconcile daily production records involving USDA commodities and purchased food items. * 6 Assist in reconciling a monthly inventory on all commodity items. * 7 Coordinate requisition and commodity orders to school centers and District office. * 8 Assist Director in preparing and issuing requests for bids / price quotations. * 9 Maintain current file of state and other governmental agency bids. *10 Maintain current bid-awarded vendor file, including disbarment, suspension, and public entity crimes certificate information. *11 Coordinate demonstrations of new products by suppliers. *12 Maintain information concerning joint purchases with other governmental agencies. *13 Maintain file system for purchase orders by vendor name and in numerical sequence for reference and audit purposes. *14 Assist with the conversion, maintenance, and reconciliation of District fixed assets. *15 Maintain general ledger and subsidiary ledger on capitalization of additions to sites, buildings, buses, furniture, fixtures and equipment, and others. *16 Update and maintain the Gateway / TERMS management on-line accounting system for all fixed assets. *17 Conduct an annual sampling of inventories of property items at all cost centers. *18 Ensure that all property items are properly labeled with identifying numbers. *19 Prepare reports of damaged, lost, or obsolete property for approval by the School Board. *20 Prepare and file police reports on all stolen items for insurance purposes when applicable. Inter / Intra-agency Communication and Delivery *21 Assist lunchroom workers with day-to-day activities. *22 Provide for positive communication among staff. *23 Keep supervisor informed of potential problems or unusual events.
