Job Description

Process Texas Parents Association supporting levels of membership including entering and maintaining accurate member information into the database and VIP systems both manually and by downloads. Coordinate and complete membership package assembly and mail-outs with University Mail Services. Act as the first point of contact for member assistance for online inquiries and incoming phone calls. Provide the highest standard of customer service in person, over the phone, and via email, acting as primary point of contact. Represent the department well by speaking knowledgeably and composing professional written responses with concise language and proper grammar. Advise, counsel, reassure and problem-solve for all parents contacting the office. Assist all parents within the University's complex structure, culture and systems, and policies and procedures to reach desired outcomes. Proactively acquire institutional knowledge that will aid in assisting the parent and family constituency. Coordinate Family Orientation membership sign-up stations, train Family Orientation Student Leaders on use of the online sign-up system and database as well as the membership structure and offerings. Educate volunteers on membership fulfillment responsibilities and troubleshoot any technical problems. Facilitate the membership renewal program, administering strategies developed to encourage member retention and to foster a sense of community. Oversee cycle for Texas Parents supporting member benefit of mail and package delivery, including but not limited to, electronic request-to-ship form audit, log-in packages upon arrival, package tracking, contacting student for pick-up and completing necessary steps to transfer package/mail into students possession. Coordinate Fall and Spring Texas Parents Ambassadors Council meetings and Executive Committee meetings including space reservations, catering, managing RSVPs and communicating with Council members, producing meeting day materials, coordinate speakers identified by the Executive Committee, build run of show timelines and Council chair scripts. In collaboration with the Director, coordinate all aspects and logistics of the Outstanding Student Award including processes assigned to student staff regarding applications, confirmations and selection committee materials. Promote awards to appropriate audiences to increase nomination awareness.Cultivate and maintain campus and vendor and stakeholder partnership relations to enhance member benefit offerings. Cold call and act as point of contact with local hotels to establish Family Orientation hotel options and membership benefits. Administer the stewardship program, ensuring all donors receive a personalized thank you from Texas Parents Create, maintain, analyze, reconcile and ensure accuracy of various departmental reports including, but not limited to, a Constant Contact email bounce report, membership weekly, online and Family Orientation sales reports.Serve as a contributing staff member in a team-centric and collaborative environment, functioning capably in a dynamic, fast-paced office, create and maintain standard operating procedures for assigned processes and procedures. Serve as an essential worker, and occasionally report to work, either in-person or remotely, during times of emergency closures. Substitute for other staff as necessary. Keep abreast of current events as they pertain to students and their families, and perform other tasks as assigned.
