GENERAL PURPOSE: The Director, Building Systems/Compliance and Lease Management is responsible for overseeing the maintenance, compliance, and operational integrity of all critical building systems in a predominantly owner-occupied property. The role focuses on ensuring regulatory compliance, managing vendor relationships, and supporting capital and expense planning for essential infrastructure, including boilers, fire alarms, fire sprinklers, standpipes, and fire water tanks. The position also includes limited lease administration responsibilities for ground-floor retail tenants. The base salary/pay range for this role is $115,200 - $216,600. The base salary/pay range is dependent on factors including, but not limited to, experience, skills, qualifications, relevant education, certifications, seniority, and location. The range listed is just one component of the total compensation package for employees. Other rewards vary by position and location. ESSENTIAL FUNCTIONS: Building Systems Maintenance & Compliance u2022 Oversee scheduled preventative and predictive maintenance for all systems including but not limited to boilers, fire systems/sprinklers/tanks, standpipes and elevators. u2022 Ensure all systems are maintained in accordance with NYC codes and industry standards. u2022 Supervise all required inspections, testing, and certifications. u2022 Manage up-to-date records of all permits, licenses, and inspection reports. u2022 Respond to and resolve any violations or compliance issues promptly. Vendor & Contract Management u2022 Manage relationship of all third-party vendors, provide direction and act as point of contact for system maintenance/repairs. u2022 Set the standard an reinforce standards of service; ensure all work is performed to highest standards and within approved budgets. u2022 Maintain inventory of supplies and spare parts for emergency and routine repairs. Regulatory and Safety Oversight u2022 Develop and implement procedures for regulatory drills and inspections (e.g., fire drills, evacuation procedures). u2022 Manage the coordination of all building inspections with city agencies to ensure full compliance with local laws and regulations. u2022 Direct vendors and consultants to ensure all work is carried out on time. When necessary, source and vet new vendors as needed. u2022 Lead, monitor and communicate any changes in regulatory requirements to supervisor and senior business leaders. Budgeting & Financial Planning u2022 Own annual capital and operating budgets related to building systems. u2022 Track expenses and forecast future capital needs for system upgrades or replacements. u2022 Develop long-term master planning and 5-year capital improvement strategies. u2022 Assist with the preparation of funding packages to support replacements and upgrades in the building. Lease Administration (Retail Tenants Only) u2022 Maintain lease abstracts and ensure compliance with lease terms. u2022 Ensure all tenants comply with financial, and non-financial, lease obligations. u2022 Provide oversight, for Ross, on all tenant improvements and alterations, including permitting and approvals. u2022 Collect and track certificates of insurance and other required tenant documentation/permits related to the construction or operation in the space. u2022 Oversee rent billing, collections, and lease exit processes including producing and distributing monthly rent statements and assisting with the invoices and collection from building tenants. COMPETENCIES: People u2022 Building Effect Teams (for managers of People and Projects) u2022 Collaboration Self u2022 Leading by Example u2022 Communicates Effectively u2022 Ensures Accountability and Execution u2022 Manages Conflict Business u2022 Business Acumen u2022 Plans, Aligns and Prioritizes u2022 Organizational Agility QUALIFICATIONS AND SPECIAL SKILLS REQUIRED: u2022 B.S. degree in Engineering, Architecture or Construction, or related field, with minimum of 10 +years' experience preferably in NYC. u2022 Strong knowledge of NYC building codes, FDNY regulations, and DOB permitting processes. u2022 Experience with fire protection systems, mechanical systems, and boiler operations. u2022 Proficiency in vendor management and contract administration. u2022 Budgeting and financial planning experience required. u2022 Excellent organizational and communication skills. u2022 Strong time management skills. u2022 Self-starter with ability to work independently under minimal supervision. u2022 Ability to manage multiple priorities and work under pressure. u2022 Proficient with CMMS software and Microsoft Office Suite. PHYSICAL REQUIREMENTS/ADA: Job requires ability to work in an office environment, primarily on a computer. Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc. Consistent timeliness and regular attendance. Vision requirements: Ability to see information in print and/or electronically. This role requires full-time in-office presence, including to engage in in-person team interaction, meetings and collaboration, client support, mentoring, coaching, and/or feedback.
