Administrative Assistant duties and responsibilities include providing administrative support to COO through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others.Salary depends on experience.Answer and direct phone callsOrganize and schedule meetings and appointmentsProduce and distribute correspondence memos, letters, faxes and formsAssist in the preparation of regularly scheduled reportsSubmit and reconcile reportsProvide general support to visitorsProvide information by answering questions and requestsTake dictationResearch and creates presentationsHandle multiple projectsDevelop administrative staff by providing information, educational opportunities and experiential growth opportunitiesCarry out administrative duties such as filing, typing, copying, binding, scanning etc.Handle sensitive information in a confidential mannerTake accurate notes of meetingsCoordinate office proceduresReply to email, telephone or face to face enquiriesDevelop and update administrative systems to make them more efficientResolve administrative problemsKnowledge of office management systems and proceduresProven admin or assistant experienceExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational and planning skillsHigh school diploma or equivalent
