Job Description/Duties: The Assistant to the Dean provides high-leveladministrative support to the Dean of the Pardee School of GlobalStudies. Working closely with the Dean and the Executive Director ofFinance and Administration, the Assistant ensures the smooth operationof the Deans office and plays a key role in managing projects,communications, travel, scheduling, and special initiatives. The properhandling of sensitive and confidential information is required. TheAssistant facilitates effective communication between the Dean and awide range of stakeholders across the University and externally,including the Offices of the President and Provost, academic and programdeans, faculty, center directors, alumni, donors, and communitypartners. The role requires a proactive and detail-oriented approach,sound judgment, discretion, and a high degree of professionalism. KeyResponsibilities: Administrative Support ? Manage the Deans calendar andschedule, coordinating with internal and external stakeholders at alllevels of the University. ? Arrange travel and meetings; supportlogistics for faculty and leadership meetings, including scheduling,space reservation, agenda preparation, material distribution, andnote-taking. ? Assist with signature initiatives and occasional eventsin coordination with the Director of Strategic Affairs andCommunication. Communications ? Review, prioritize, and properly routeall incoming correspondence and inquiries addressed to the Dean. ? Draftand proofread letters, emails, reports, and remarks; respond toinquiries with discretion and professionalism. ? Screen incoming calls,return calls on behalf of the Dean, and redirect as appropriate. ?Maintain confidentiality regarding sensitive information, including allpersonnel matters and faculty reviews. ? Monitor the Deans email accountand coordinate responses, while briefing the Dean on key issues andmeeting contexts. Office Administration ? In collaboration with theExecutive Director, oversee day-t Required Skills: Required Skills: ?Bachelors degree with 3 to 5 years of experience as a high-leveladministrative assistant to a busy executive, excellent oral and writtencommunication skills, attention to detail, ability to handleconfidential and sensitive material with the utmost professionalism.equivalent work experience required. ? Excellent verbal and writtencommunication skills. ? Exceptional planning and organizational skills.? Ability to take initiative and ownership of projects ? Demonstratedability to handle sensitive issues and maintain confidentiality. ?Ability to work effectively with culturally diverse groups within anorganization. ? Proven ability to perform duties with professionalism,flexibility, discretion, judgment, diplomacy, and tact ? Strongmultitasking skills and ability to adapt to changing priorities and meetdeadlines. ? Experience with purchasing and booking travel. ? Priorexperience in higher education administration preferred ? Proficiency inMS Office, Outlook Calendar, Adobe Suite, and Google Workspace. ?Availability to support occasional evening or weekend events throughoutthe year Please note: This position requires a five-day in-personschedule.
