This Staff Assistant position requires a highly professional, collegial, and detail-oriented person, who is an excellent communicator and team player. In this multi-faceted role, this individual will work as a receptionist and secretary for various county Extension programs in Washington County, including: (a) Community & Economic Development, (b) Agriculture, Natural Resources & Horticulture, (c) Family & Consumer Sciences, and (d) 4-H youth development. Responsibilities include front-office support, meeting scheduling, vehicle fleet management, building maintenance management, event coordination, social media content development, email newsletters, and website management. This position is a full-time, in-person position, Monday-Friday, 8:00 am - 5:00 pm.Receptionist and secretary for county Extension programs.Greet and direct visitorsAssist with reports, data entry, office calendar, computer needs, and general office dutiesAssist with Extension program correspondence through phone calls, letters, email newsletters, etc.Design PowerPoint presentations, program flyers, 4-H and other certificates, etc., using Canva. Proof and design other office documents in MS Office SuiteMaintain and update the county Extension website, and offer new ideas for future development to increase website trafficKeep the county website calendar of events current and up to dateUpdate and regularly maintain Extension program mailing listsPrepare and mail soil and plant samples to the USU labOversee vehicle fleet maintenance in coordination with the county mechanicOversee building maintenance and requests for repairsChair of the USU Extension Washington County Fair Planning CommitteeAssist with registration materials for Extension faculty, 4-H staff assistants, volunteer leaders, and youthPrepare registration materials, work with the online registration program, label exhibits, and assist with other 4-H fair exhibit information as neededKeep 4-H enrollment leader and member information updated. Make regular calls to 4-H volunteers to keep their registrations currentPrepare and send news columns and news releases to local mediaBe administratively and programmatically responsible to the Extension Washington County Director and faculty membersPerforms office duties, including answering phones, directing calls to appropriate parties, data entry, filing, and other general duties as assignedSort, screen, and distribute incoming and outgoing mail and messagesWork with other staff assistants to coordinate any other job dutiesPerform miscellaneous job-related duties as assignedMinimum Qualifications:Two years of experience in an office setting or an associate degree/vocational training is required.Skilled with computer programs and related softwareProficiency in Microsoft Office SuiteExcellent critical thinking skillsSkilled in creative problem-solvingSkilled with office equipment, including printers, copiers, and telephone systemsGood organizational skillsStrong verbal and written communication skillsAbility to handle sensitive and confidential business data and personal informationAbility to work without supervisionExcellent customer service skills.Preferred Qualifications:Proficient in a wide range of computer software necessary to fulfill duties: Financial software, 4-H CRM software (zsuite), County Fair software,Extension website creation and maintenance software, University Banner, ServiceNow, EZ-Buy, Digital Measures, and Canva or Adobe SuiteKnowledge of University policies and proceduresKnowledge, Skills, and Abilities:Skilled with computers and related softwareSkilled with basic office equipment, including printers, copiers, and telephone systemsStrong organizational skillsStrong verbal and written communication skillsAbility to handle sensitive and confidential business data and personal informationAbility to work without supervisionKnowledge of University policies and proceduresExcellent customer service skills.Along with the online application, please attach:1.
