Overview Maintain an extensive floor presence while acting as the point of contact providing high level hospitality and customer services to our client, client guests and vendors, greeting customers and visitors with a high degree or professionalism and courtesy. To also provide an integrated VIP experienceu2014providing a unique mix of guest services, office services and an elevated workplace experienceu2014focused on driving results. Responsibilities Service Excellence : Office space is dynamic, and each floor occupant has unique needs. Ensure everyone has what they need. u25cf Own the flooru2014everything should be working well u2013 if not, report to appropriate operations teams (facilities, maintenance, security, IT, etc.), and follow up to see that it is addressed. u25cf Ensure legal and business professionals have appropriate space, connectivity, and supplies to do their work. u25cf Ensure all systems are working effectively (printer network, cooling and heating, lights etc.) u25cf Manage all service requests (imaging, car service, mailing, printing, etc.) with closed loop approach. u25cf Ensure all visitors are greeted and provided with office services information and key general office information (where to print, office map, etc.). u25cf Anticipate needs and proactively seek opportunities to elevate the end-user experience. Core Functionality : Utilize Canon devices, office center tools, workstations, and applications to complete service requests. u25cf Operate the advanced features of the print properties menu for Adobe Acrobat, Excel, Outlook, and Microsoft Word (hole punching, collating documents, etc.). u25cf Complete jobs to individual preference and ensure individual preferences are shared and updated regularly for continuity. u25cf Answer E-mails and phone calls with the proper professionalism and etiquette that represents CBPS appropriately and encourages future interactions. u25cf Operate PS Ship in Outlook, to create domestic and foreign Fed Ex labels as well as create hyperlinks for sharing tracking numbers, pertinent info, etc. u25cf Create white labels for shipping and creating envelopes of various sizes with both sender and return addresses placed properly. u25cf Exercise time management, answering emails promptly and completing tasks within an appropriate time based on the workload. u25cf Bind documents in all the methods used at the office service center (Floor Ambassadors should have knowledge of how to bind, laminate or cut with the various methods for all requests). u25cf Manage the supply demand for your assigned floor: what are the major supplies used on the floor? How often are restocks needed? What specialty supplies are needed, and who needs them? u25cf Solve minor issues with hardware (paper jams and cleaning). u25cf Appropriately input all requests/task completions in accountability software Events and Special Projects : Support assigned floor as needed. u00b7 Provide operational expertise and consultation u2013 best practices to prepare for the event, where to route requests during the event, supplies needed, etc. The Approach : To provide an exceptional VIP workplace service experience for legal and business professionals, u25cf Manages a high volume of work with efficiency : Utilizes office tools to create or manage a system for tracking accountability for all service requests. Work with facilities, catering and other vendors when needed. Strong communication skills, oral and written. Proven ability to remain calm under pressure, good work ethic, sound judgement with good problem-solving abilities Mail/Packages/Pouches : u00b7 Receive, sort, and deliver all incoming mail & packages to assigned floors and within established time frames. u00b7 Log outgoing and incoming items as required and review for accuracy/completeness. Supplies/Copying/Administration : u00b7 Organize and distribute supplies to client employees as detailed in job requests. Verify and log orders upon delivery. u00b7 Monitor inventory of supplies, stock paper and toner and keep Floor Ambassador offices and copy areas neat and organized u00b7 Handle items for distribution to a segment of or all of client employees, affiliates, dealers, etc. u00b7 Estimate runtime on the small to medium photocopy jobs. Check all copies produced for quality and accuracy. Produce bound copies of work when requested. Deliver and pick up copy jobs. u00b7 May provide minor maintenance of photocopy machine such as solving paper jams, placing service calls and routine cleanings. u00b7 Prepare weekly production and volume reports in order to measure productivity and prepare billing charges. u00b7 Provide other administrative services from inserting, copying and photocopying to faxing as needed. u00b7 Set up and maintain visiting attorneysu2019 offices. u00b7 Due to changing technology in office automation, will be required to learn new features and functionalities of copying machines, faxes, scanning, shipping equipment as introduced at the site. u00b7 Train end users (the client) on new features and functionalities of copying machines, faxes, scanning, shipping equipment as introduced at the site. Qualifications + High school Diploma or equivalent + 2+ yearsu2019 experience working in a mailroom and/or professional office environment. + Prior hospitality experience (managing office inventory, conference room set up, event assistance, etc.) + Ability to provide a high level of exceptional customer serve to our clients and customers + Strong attention to detail and a high level of initiative to fulfill business needs up to expectation + Print, copy and binding experience is a plus + Thorough knowledge of all metering, weighting, logging, and other shipping procedure + Proficient computer skills (MS Office, etc.) + Ability to perform complex functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems), excellent customer service, professional attitude and appearance are a must.
