Job Description

The selected candidate will provide general clerical support and specialized payroll and procurement support in the Business Office. This individual must respond efficiently to payroll and general procurement requests by internal and external constituents and work collaboratively as a member of the Business Office in proactively anticipating problems and relevant needs. The Payroll and Procurement Assistant reports to the Executive Director of Business and Financial OperationsThe internationally recognized Illinois Mathematics and Science Academy (IMSA) develops creative, ethical leaders in science, technology, engineering, and mathematics. As a teaching and learning laboratory created by the State of Illinois, IMSA enrolls academically talented Illinois students (grades 10-12) in its advanced, residential college preparatory program. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.Process all payroll input functionsBalance payroll reportsMaintain orderly and accurate payroll recordsPrepare bank depositsAssist the procurement function including but not limited to placing Amazon orders, following-up with vendors, and initial contract preparationProcess weekly procurement voucher transfers to State of Illinois comptrollerSupport procurement with management of contract timelinesAssist with support of student registration and fee collection as neededRespond to service requests of internal and external customers in a pleasant and efficient mannerDemonstrate a willingness to serve as an active and contributing member of the Academy.Other duties as assigned.MINIMUM QUALIFICATIONSAssociate’s Degree and three (3) years professional experience or an equivalent combination of education and experienceExperience in supporting and processing basic accounting transactionsProficiency and understanding of computerized accounting and payroll systemsExcellent communication and interpersonal skillsExcellent organizational skillsAbility to communicate with internal and external customers, staff, and studentsAbility to adapt to a work environment that requires learning and acquisition of skills to successfully fulfill the performance responsibilities and dutiesPreferred Qualifications:Experience at a state agency or academic environmentExperience with State of Illinois pension system(s)WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This role generally requires mobility, written and verbal communication, hearing and visual capabilities. However, reasonable accommodations, including assistive technology, may be made to enable qualified individuals with disabilities to perform such requirements.Hours/Shift/Work Schedule: This position is a full-time, non-exempt position. Hours worked: 8:00am - 4:30 pm, Monday through Friday.COMPENSATION:This position is a full-time, non-exempt, 12-month, employment-at-will position. Salary regionally commensurate with training and experience in like-institutions with a range of $50,400 to $57,000. IMSA offers a comprehensive state benefits package (major medical, dental, vision, and prescription) with rates found here, a generous paid time off plan, and a retirement plan through the State University Retirement System (SURS).
