We are committed to fostering an inclusive work environment where the different strengths and perspectives of each employee are both recognized and valued.About the PositionThe priority for this position will be to ensure that client work orders are entered into the system accurately and in a timely manner and that all standards are followed by the staff to ensure client instructions are followed accurately. This position will also assist in the training of the WOE groupProcessing and filing a variety of paperworkMaintains inventory and orders office suppliesMaintains close liaison with supervisors and other lab staff to ensure the smooth delivery of our services to clientsResponsible for proper and timely follow-up of client enquiries or requestsEnsures that work-order write ups are checked and entered accurately and in a timely mannerPrepares source data for computer entry by compiling and sorting information and establishing entry prioritiesEnters data and maintains entry requirements by following data program procedures. Reviews output to test for accuracyFollow up on “On Hold” work ordersAssists with editing or creating CPT’s as requiredEnsures that ALS Group analytical codes and procedures are being followedMaintains communication by referring client inquires to Supervisor or client service personnelProvides input on quality improvements to the departmentIn consultation with Supervisor, may assist with investigating client enquiries and complaints related to quality issues and suggest proactive actionsIdentifies internal and external problems when they ariseCommunicates with Client Services/Marketing, Quality and V BranchRecords and files WOE meeting minutesAttends WOE peer group meetings.Investigates WOE quality and safety incidents and contributes with innovative ideas to improve WOE department quality, safety, and productivityResponsible for training and monitoring performance of WOE staffAssists with WOE employee performance evaluationsAssists in keeping WOE staff training records and controlled documents up-to-dateMaintain a positive work environment through active team participation with a focus on quality customer service and maintaining client confidentialityUse correct methods in accordance with the established procedures and schedules while ensuring analytical qualityObserve established safety regulations and comply with all ALS health and safety policies and procedureOther duties as assigned by ManagerThorough knowledge of WOE procedures and methodsPleasant and professional telephone mannerOrganized, highly motivated and customer focused individualDetail oriented individual with a strong commitment to quality and safetyAbility to work independently and/or as part of a teamAbility to effectively handle a high volume of work and time critical issuesStrong interpersonal and leadership skills along with the ability to exercise diplomacy and tactFamiliarity with Webview and StarLIMSFamiliarity with ALS Group analytical codes and proceduresStrong keyboarding skills with an emphasis on accuracyExcellent English communication skills both written and verbalExcellent computer skills including MS Word, Excel and OutlookMinimum 2 years work experience in a commercial minerals’ laboratory or minerals sample preparation requiredMinimum 1 year experience working within a data entry capacity requiredCompletion of an office administration certificate or diploma preferredBackground in Chemistry and/or a related field would be an asset.Manual dexterity to perform intricate and/or repetitive tasksWear issued personal protective equipment (PPE) such as dust masks, gloves etc., when requiredAbility to stand for a full shiftAbility to sit at a desk and do general office work, which includes periodic sedentary responsibilitiesPlease note that ALS operates 24/7 and will require day, afternoon, and graveyard shift work including weekends.
