Description We are looking for a detail-oriented Business Office Coordinator to join our team on a contract basis in Greenbrae, California. In this role, you will manage essential office operations, including accounts payable, payroll coordination, and resident billing, while ensuring compliance with established policies. The ideal candidate will excel in communication, organization, and accuracy to effectively support both staff and residents. Responsibilities: u2022 Oversee accounts receivable and payable processes, ensuring accurate and timely handling of transactions. u2022 Process resident payments and reconcile charges, addressing any financial inquiries or discrepancies with residents, vendors, and corporate staff. u2022 Coordinate payroll-related activities, including responding to employee inquiries about deductions, accruals, and garnishments. u2022 Ensure compliance with accounting policies and procedures in timekeeping, purchasing, and billing. u2022 Manage the month-end accounting close process, meeting deadlines set by the Director of Business Office Operations. u2022 Collaborate with HR and payroll departments to ensure accurate timekeeping and payroll data. u2022 Assist with distributing care fee increase letters and other resident communications as directed. u2022 Support audit preparations and reporting by gathering necessary financial data. u2022 Maintain confidentiality of sensitive information while adhering to company standards. u2022 Monitor and report changes in residents' financial, physical, or emotional status to community management. Requirements u2022 Proven experience in administrative office management, preferably in a healthcare or senior living setting. u2022 Strong knowledge of accounts payable, payroll coordination, and financial reconciliation. u2022 Proficiency in using office software and systems for timekeeping and billing. u2022 Excellent communication skills for interacting with residents, vendors, and staff. u2022 Ability to manage multiple priorities while meeting deadlines with precision. u2022 Familiarity with maintaining confidentiality and handling sensitive information. u2022 Detail-oriented with a strong focus on accuracy in financial and administrative tasks. u2022 Ability to work collaboratively with various departments and stakeholders.
