Come join our family, we dig the future!We are now hiring an Administrative Assistant!This position is responsible for supporting the Director of Construction and Operations.OverviewThe Administrative Assistant will provide essential administrative support to the construction department, working closely with superintendents, foremen, field staff, and office personnel. This role is crucial in supporting day-to-day operations and ensuring smooth internal coordination within the construction division. The ideal candidate is highly organized, tech-savvy, detail-oriented, and proactive in maintaining efficient workflows and documentation systems. Primary ResponsibilitiesProvide daily administrative support to the Construction Department team, including superintendents and foremen.Assist the VP of Construction and other department leadership in coordinating meetings, maintaining calendars, and following up on requested information.Organize and maintain both digital and physical construction job files; archive outdated files and set up files for new projects or personnel.Ensure forms, binders, and reference materials (e.g., for foremen and superintendents) are updated, printed, and maintained as required.Assist in preparing presentations and coordinating logistics for foremen’s meetings.Perform regular job cost and 30-week printing for superintendents' meetings.Provide light tech support and troubleshooting assistance for field personnel (e.g., tablet setup, software navigation).Coordinate IT and training needs, including refresher and annual compliance training.Update internal tracking systems such as wage increases, bonus notes, employee milestones (birthdays/anniversaries), and training program candidate communications.Follow up with field staff across departments to collect missing documents (coaching forms, assessments, etc.).Assist with MPS (Master Performance Spreadsheet) documentation filing and organizing.Track and follow up on outstanding items including equipment inspection forms and credit card receipt submissions.Support office organization and assist with managing clutter (e.g., outdated plans, loose paperwork).Create purchase orders and update accounting software with relevant project or operational data.Print plans and other job-related materials as needed.Other administrative tasks and duties as assigned.QualificationsSome college coursework preferred, background in construction office administration highly desirable.1-2 years of administrative experience, preferably in a construction or field services environment.Strong organizational and document management skills with a high attention to detail.Clear, professional communication skills in English; Spanish fluency is a plus.Ability to work independently and as part of a team, with a proactive and flexible mindset.Proficiency in Microsoft Excel, Word, and general office software; comfort with light IT troubleshooting.Valid driver’s license and clean driving record.OTHER CRITERIA:Work Location: Corona, CA Complies with company policies and procedures.Performs job safely with respect to others, property and individual safetyPay Range: $22.00 - $25.00/hourly, depending on experienceWork Schedule: 6am -2:30pm some days 7am - 3:30pm
