Our hospital is a 2-doctor practice, with a support staff of 8+ employees. Open 6 days a week, this is a demanding position. The ideal candidate will have excellent leadership skills and the ability to adapt to many different types of personalities seamlessly. The position requires a minimum of three years of experience in a leadership role, with responsibilities that include recruiting, human resources, marketing, and profit & loss responsibility. Job Summary: Under policy direction from the Field Manager with support of and input from Medical Director, the Hospital Manager performs a wide range of difficult to complex administrative activities related to hospitals providing quality patient care and excellent client service, management of finances and accounting, marketing and promotion of services, staffing and human resources, and discretionary activities, that serve to support effective business operations. Education and Experience u2022 High School Diploma. Some college education preferred. u2022 Must have a minimum of 3 years experience in medical care facility operations management with profit and loss responsibility. u2022 Budget management experience. u2022 Knowledge of sales and marketing techniques. u2022 Human resource skills. u2022 Training and client relations experience. u2022 Thorough knowledge of the veterinary profession. Authority : u2022 Interview prospective employees. u2022 Hire, train, review, schedule discipline, and discharge employees. u2022 Can spend up to $200/month without authorization. u2022 Can transfer employees to work another position within the hospital. u2022 Can transfer employees from part-time to full-time staying with controlled payroll budget. Physical Requirements: u2022 Dependable attendance is required. u2022 Any allergies to animals must be controllable through medication. u2022 Must be able to lift 40 pounds. u2022 Must be willing to work long or irregular hours under pressure conditions. u2022 This position requires the ability to walk, bend, stand and constantly reach during a minimum 8-hour day. u2022 Visual acuity sufficient to maintain accurate records, recognizes people and understands written directions. u2022 Ability to speak and hear sufficiently to understand, give information in person and over the telephone. u2022 Fine motor skills adequate for utilizing office equipment such as facsimile machines, computers, copiers and hospital equipment such as laboratory equipment, radiology equipment, etc. Duties The following is a list of essential job requirements. Client Management: u2022 Oversees training of all staff in accordance to the principals of the VCA Mission Statement, Three Steps Of Service and VCA Standards of Client Service and that the above is known and practiced by all. u2022 Oversee client flow to ensure that clients and patients are seen and treated in a professional, timely, and competent manner. u2022 Responsible for administration and review of non-medical client complaints. u2022 Oversee call back system including overdue reminder calls. u2022 Oversee collections and returned checks. u2022 Oversee billing, calculation of any discounts and other special accounts. Office Management: u2022 Modify and update systems and procedures wherever needed to better serve clients, patients, the practice, and employees (i.e., modify schedules for the most productive use of time). u2022 Verify receipt of all supplies, mark invoices, and packing slips received and send them in for payment to corporate. u2022 Monitor purchasing. u2022 Prepare packets of information to be sent to the corporate office. u2022 Sort and process the daily mail. u2022 Management feedback reports - bi-weekly. u2022 Perform transaction corrections. u2022 Make certain bank deposits are made daily. u2022 Ensure that all hospital logs are being kept up to date and accurate including anesthesia/surgery, radiology, and controlled substance logs. u2022 Ensure that the OSHA and Safety program, procedures and reporting are being continuously monitored and updated, so the hospital is in safety compliance. Production Management: u2022 Meet with the Medical Director and Regional Medical Director and/or Regional Operations Director (District Manager or Area Supervisor) regularly to discuss evaluate and plan for the welfare of the practice. u2022 Ensure that marketing events are effective - internal and external. u2022 Motivate staff. u2022 Check all transactions for accuracy and missed services through regular daily audits. Financial Management: u2022 Monitor the cost of purchasing so the practice operates within budget. u2022 Monitor staff scheduling, so the practice operates within budget. u2022 Monitor and approve all expenditures within guidelines. u2022 Review the income statements and other financial data to find ways to improve revenues and hospital contribution. u2022 Meet regularly with the veterinary staff to review financial performance. u2022 Oversee petty cash control. u2022 Review charges daily to ensure that all charges have been captured. u2022 Responsible for cash control in hospital ensuring VCA standards are followed. u2022 Review accounts receivable to confirm proper and timely process. Marketing Management : u2022 Understand, participate, and support planned marketing events and programs. u2022 Ensure that the hospital staff utilizes the marketing tools and materials to be used in marketing events and programs. u2022 Ensure that the hospital staff follows instructions for implementing authorized marketing discounts in the computer system. Facility Maintenance: u2022 Oversee the maintenance/housekeeping of the hospital for orderliness and cleanliness of both the inside and outside of the building. u2022 Monitor janitorial responsibilities. u2022 Oversee that the VCA safety procedures are implemented and followed. u2022 Oversee facility and equipment maintenance and repairs, keeping a repair log. u2022 Authorized to make repair decisions less than $200 without checking with the District Manager or Area Supervisor. Meetings: u2022 Attends regional meetings. u2022 Schedule regular doctors meetings. u2022 Plan hospital management meetings. u2022 Organize monthly staff meeting agenda in conjunction with the hospital management team and VCA guidelines. Communication : u2022 Read and respond to all communication promptly. u2022 Ensure that VCA policies, guidelines, and recommendations are quickly communicated to hospital staff and adequate training follows.
