JOB REQUIREMENTS: Position Summary The Administrative Assistant in theBehavioral Health Clinic is responsible for managing the intake andscheduling process for psychiatry and psychotherapy services. This roleinvolves compassionate and clear communication with individuals seekingcare, in their case management teams, and other involved parties. Keyresponsibilities include maintaining wait lists, managing providerschedule templates, and requesting relevant medical records for newpatients. The Administrative Assistant will utilize Epic EHR and Excelspreadsheets to ensure accurate documentation and efficient workflow.The Administrative Assistant also ensures that clerical support isprovided, including managing office supplies for the BH Clinic.Essential Duties and Responsibilities The essential functions include,but are not limited to the following: Manage incoming referrals forpsychiatry and psychotherapy services in the behavioral health clinic.Scheduling new patients, which could involve frequent phone or emailcontact with individuals seeking care or their case management teamsCompassionate and clear communication with individuals seeking care andothers involved in their care Maintain wait lists, utilizing Epic EHRand Excel Spreadsheets Requesting relevant medical records for newpatients, documenting stipulation/commitment status, and other relevanttasks for intake preparation. Manage psychiatry and therapy providerschedule templates in Epic EHR Provide clerical support, uploadingvarious documentation required by various contracts, including MilwaukeeCounty Behavioral Health Department, Comprehensive Community Services(CCS) Managing service authorizations for services funded throughMilwaukee County, communicating regularly with Milwaukee County BHSstaff and other involved entities. Maintain Excel spreadsheets serviceauthorizations through Milwaukee County funding Handle office supplyorders Compile onboarding binders for new staff members. Maintain stafftraining files for auditing purposes Assist BH Clinic Manager withclerical tasks Complies with federal, state, and local regulationsregarding patient confidentiality and HIPAA Completes other duties asassigned EDUCATION and/or EXPERIENCE: Requires four years of high schooland six to twelve months of related experience, or equivalentcombination of education and experience.
