Through our talented staff and u201cLEAPu201d career framework (Leadership, Empowerment, Accountability, Personal Growth), we are committed to a people-first approach that fosters trust, inclusion, growth, and development for all.The West Side YMCA is seeking a Membership & Guest Rooms Coordinator who will be responsible for ensuring quality in all areas within the Membership and Guest Rooms departments, including creating a positive member and guest experience, staffing, all administrative processes, including point-of-sale transactions, systems, and audit preparation. They will assist with the overall management of the West Side Yu2019s guest rooms, which includes coordination of group stays, housekeeping, check-ins, check-outs, luggage room, etc. The Membership & Guest Rooms Coordinator works with the Member Experience Director and Guest Rooms Director to provide leadership to both departments to achieve all goals.Key Responsibilities:Daily Responsibilities:- Conduct the daily audit of transactions that occurred on the previous day/s at the branch, including registrations, cancellations, and holds.- Handle guest booking, check-ins, and check-outs.- Handle in-person inquiries, calls, and emails from members and guests.- Review and enter daily reservations from various sources and enter requests in the HMS system. - Pay close attention to details; booking the correct room type and arrival/departure dates.- Confirm reservations to operators and online sites as required. - Represent as the Guest Rooms point person when the Guest Room Director is not available.Bi-weekly Responsibilities:- Run adult member renewal notice reports. Send out standard renewal notices for monthly memberships and annual invoices 6 weeks prior to the renewal date.- Assist the Member Experience Director with reviewing timecards in ADP eTime. - Serve as a Manager on Duty for the branch.Monthly Responsibilities:- Review aging reports (either sent by the Association Office or downloaded from AS400) and cancel memberships that are over 60 days past due.- Assist the Member Experience Director in preparing for membership staff meetings (agenda, minutes, etc.).- Prepare staff schedules for the Member Experience Directoru2019s approval.Continuing Responsibilities:- Assist the Member Experience Director and Guest Rooms Director in hiring, training, and developing staff.- Attend and participate in various branch and/or association events and meetings.- Update table files.- Handle purchasing and requisitions. Monitor and order supplies, forms, membership cards, staff uniforms, etc.- Schedule rentals and process payments.- Be highly proficient in and role model all aspects of the Membership Experience Representative position.General Responsibilities:- Attend and participate in required training sessions (De-Escalating Difficult Situations, AS400, HMS, etc.).- Take the initiative for personal and professional development by taking advantage of YMCA formal and informal opportunities.- Conduct yourself according to the Y values of caring, honesty, respect, and responsibility.Desired Skills & Experience:- Bacheloru2019s Degree or equivalent work experience required. Bacheloru2019s Degree in Business Administration preferred.- Minimum of three (3) years of experience working in a fast-paced administrative setting.
