Job Title Office Manager Job Description Summary As a office Manager, your primary objective is; to manage the seamless and efficient operation of the workspace, executing all tasks promptly. Your overarching goal is to cultivate a productive and well-organized work environment that aligns with the broader objectives of our clients. This entails prioritizing the welfare of our clients' employees, ensuring they feel secure, safe, and empowered to maximize their productivity. Operating from our local office, your role is pivotal in supporting day-to-day on-site operations and addressing local business needs. Additionally, you may be required to extend your support to other office locations remotely, including travel when necessary, to maintain consistency across all sites. Job Description Core Responsibilities: On site job location in 3201 Olympus BLVD., Dallas, Texas, 75019 Part Time Working days: Tuesday, Wednesday, Thursday u2022 Manage the operational aspects of the Facilities Management & Workspace Services (soft & Hard) for our client, Priceline in alignment with the MSA. u2022 Maintaining the facility: u2022 Oversee workspace strategy and suggest opportunities for improvement; provider utilization reporting; support space planning; and assist with any employee/team moves. u2022 Participate in LIRT (local incident response team) for crisis management preparedness; including organizing the local response team in times of crisis. u2022 Act as the go-to person for all crisis management. u2022 Follow health and safety compliance guidelines and procedures and coordinate Fire Evacuation Plans. u2022 Assist with the annual budget process and forecasting throughout the year. u2022 Proactively identify operational efficiencies and cost savings opportunities. u2022 Vendor management as applicable, ensuring that vendors are delivering services in accordance with contract scope/SLAs/KPIs. u2022 Proactively inspect the office areas, systems, rooms, and common areas and coordinate any maintenance and repairs. u2022 Support office related necessities such as supervise hygiene services, janitorial/cleaning, waste management, manage/order supplies (office, stationary, pantry, catering etc) . u2022 Manage all facilities requests. u2022 Support All Corporate Sustainability goals. u2022 Management of the office u2022 Greet employees and guests and provide concierge-style services and facility related support u2022 Support local event planning, new hire orientations, Town Hall meetings, CEO Updates. u2022 Support central teams and external stakeholders like suppliers, Global Real Estate, HR, IT services. u2022 Manage menu selection ordering and set-up for weekly lunches. u2022 Reception u2022 Meet and Greet external visitors, issue visitor passes and contact the host. u2022 Provide hospitality to all visitors and for onsite events as requested. u2022 Availability u2022 Available to respond to on - call emergencies 24 x7. u2022 Available for after hours overtime work with advance notice Qualities and Personal Attributes: Essential (unless noted as Desirable) Business Generation, Execution and/or enablement u2022 Uses knowledge of the business, along with relevant systems and procedures to support others and contribute to company and client objectives in achieving their financial, business and client goals. u2022 Identifies opportunities to learn more about CW commercial environment. u2022 Uses all available internal resources, systems and tools to help increase team productivity. u2022 Uses all contact with clients as an opportunity to build a positive image of the C&W brand. u2022 Identifies and improves processes, systems and work products to continually exceed internal and external client expectations. u2022 Identifies solutions that reduce cost. u2022 Seeks assignments and welcomes challenging activities. u2022 Looks for new ways to differentiate CW services from the competition. u2022 Shows initiative in identifying, and pursuing new opportunities and initiatives Trusted Advisor and Expert u2022 Fosters collaboration and proactive communication across all organizational levels to share information effectively. u2022 Values diversity and welcomes the unique contributions of colleagues and clients. u2022 Addresses issues and queries promptly and accurately, demonstrating accountability for outcomes. u2022 Supports colleagues in meeting client needs and actively manages identified risks, with a good understanding of health and safety regulations. u2022 Proactively forecasts and evaluates commercial and financial risks, implementing procedures to mitigate their impact. u2022 Maintains expertise in the field and shares knowledge with others, communicating proactively across all organizational levels. u2022 Actively listens to determine clients' critical business needs and uses this understanding to deliver timely and effective solutions. u2022 Acts as a trusted advisor by making informed decisions and taking responsibility for outcomes, staying current in their field. Qualifications u2022 Degree educated u2013 either Facilities Management, Building Services or business orientated u2022 Proven relevant experience if no formal higher education Knowledge u2022 Familiarity with contemporary Workspace concepts and challenges. u2022 Knowledge of Facilities Management processes and industry best practices u2022 Understanding of relevant Health & Safety legislation within the FM industry u2022 Proficiency in supply chain management principles u2022 Proficiency in conducting monthly reporting on service delivery, compliance, and workspace activities Skill and Experience u2022 Proven track record in effectively managing multiple offices across regions u2022 Possesses exceptional interpersonal skills, along with a positive
