Candidate must live in or near Sacramento. Brightstar is seeking a highly organized and proactive Admin Assistant III to provide comprehensive administrative support at our Sacramento site. This role is primarily onsite, with the opportunity to work remotely on Fridays following the completion of the training period. The ideal candidate is a strong problem-solver with exceptional attention to detail, excellent communication skills, and experience thriving in a fast-paced office environment. This role requires the ability to manage competing priorities, coordinate complex schedules, and meet changing deadlines while supporting senior leaders and cross-functional teams. Responsibilities u2022 Process daily, weekly, and monthly customer invoicing with a high level of accuracy and timely turnaround. u2022 Perform data entry across multiple Excel spreadsheets and SAP systems. u2022 Scan, copy, and manage sensitive and confidential documentation. u2022 Manage Office PCard expenses, including monthly reconciliation and ensuring compliance with purchasing policies. u2022 Oversee the Purchase Order (PO) process, working directly with vendors to establish POs, provide invoice payment details, and ensure accurate billing. u2022 Request vendor quotes as needed. u2022 Develop and maintain expert-level knowledge of MediusFlow to properly code and route invoices for approval. u2022 Coordinate and schedule travel, meetings, and appointments across multiple time zones. u2022 Manage complex calendars using sound judgment to optimize cadence and meeting effectiveness. u2022 Prepare meeting agendas, presentations, and logistics; support recurring staff meetings and annual staff events. u2022 Draft written communications, reports, and other materials as required. u2022 Support office management activities, including ordering supplies, catering, petty cash management, visitor badge access, staff lunches, and license renewals. u2022 Provide administrative support to Human Resources, including onboarding, offboarding, and HR-related correspondence. u2022 Build a strong understanding of business priorities to provide effective support to the General Manager and leadership team. u2022 Serve as a liaison and proactive problem-solver across teams. u2022 Support Field Services with Purchase Order creation and order-related information. u2022 Participate in projects addressing departmental or organizational initiatives. u2022 Perform additional duties as assigned. Qualifications u2022 Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel). u2022 Prior experience in an office-based administrative support role. u2022 Highly organized, detail-oriented self-starter with strong follow-through. u2022 Demonstrated ability to manage multiple projects simultaneously in a dynamic environment. u2022 Excellent written and verbal communication skills. u2022 Strong interpersonal skills with the ability to work effectively across all levels of the organization. u2022 Positive, proactive mindset with a strong sense of urgency and accountability. u2022 Ability to exercise independent judgment with minimal supervision. u2022 Proven ability to anticipate issues and take initiative to resolve them. These factors can cause your compensation to vary. The estimated starting compensation range for this role is $21.15 u2013 $40.93/hr. The actual pay offered may be higher or lower. The Company complies with all local pay requirements and collective bargaining agreements, where applicable. Base pay is one part of our Total Rewards program. Non-exempt roles are eligible for irregular discretionary bonuses.
