Does that sound like you? The Opportunity with McKinstry We are adding a Business Operations Coordinator to our growing _Facilities and Workspace Solutions team_ in Seattle. In this role, you will enhance the overall workplace experience by coordinating various office services and ensuring a welcoming environment for all visitors and employees. Additionally, you will manage key administrative tasks to support the smooth operation of the facility. Additional responsibilities include: Hospitality, Reception & Workplace Experience + Serve as a welcoming first point of contact for employees, guests, and vendors, delivering a professional, customer-service-driven experience. + Support reception and front-of-house duties, including responding to inquiries, addressing concerns, and escalating issues as needed. + Coordinate and execute daily workplace services such as mail handling, copy/print requests, and office supply support. + Manage mail and package sorting and distribution to appropriate departments. + Oversee copy center requests, billing, and operation of plotter equipment for architectural drawings. + Ensure common areas, breakrooms and office spaces are stocked, organized and maintained, including light cleaning and inventory upkeep. + Develop and maintain professional internal relationships, providing a high level of customer service across teams, departments and regions. Event & On-Site Support + Assist with planning and execution of on-site meetings and events, including securing space, room setup and breakdown, and supply coordination. + Provide on-site event support to ensure smooth, professional execution and a positive attendee experience. Office Operations & Administration + Perform general office administration, including supply ordering, inventory management, overhead review support, and local vendor coordination. + Manage work orders and assist with facilities and workplace service requests. + Coordinate onboarding-related workplace needs, including space, supplies, and access support. + Act as a liaison for the Facilities team, assisting with projects and administrative tasks. + Champion McKinstry processes and procedures to support operational consistency and business productivity. + Other duties as assigned. What You Need to Succeed at McKinstry + Strong attention to detail, time management and organizational skills. + Clear, professional communication skills and a customer-focused mindset. + Ability to learn quickly, adapt to changing needs, and build strong working relationships. + Experience providing business support in a large matrixed organization or multi-office environment strongly preferred. + Proficient with Microsoft products, including Word, Excel, PowerPoint, and Outlook required. + Familiarity with SharePoint preferred. This is a non-exempt role and will be paid hourly. A bonus may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
