The Program Assistant works within a community of professionals dedicated to providing relevant, rigorous, and relational academic experiences for adult learners at the master’s and doctoral levels. This position works closely with the Associate Dean and Program Directors on responsibilities related to delivering an optimal experience for students in all programs as assigned.Salary Range:$24.00 - $27.00 per hourMain Duties & ResponsibilitiesThe Program Assistant works with the Associate Dean, program directors, faculty, and staff, within the School of Health and Human Services to manage school and degree program operations, faculty coordination, student communications, events, social media coordination, and new initiatives. The Program Assistant will play a key role in serving the needs of current students, alumni, faculty, and other stakeholders. This role also supports the Associate Dean with special projects related to specialty accreditation, new program launch, hiring, and other key initiatives.Dean’s Office SupportOversee planning and execution of special projects, meetings, and events. Under direction of the Associate Dean and program directors, support efforts such as program residencies, school meetings, and alumni engagement events.Assist with contract preparations, initiate, approve and monitor expenditures; prepare expense reports, budget forecasting and tracking, as well as accounts payable transactions.Serve as a project manager on accreditation-related activities (data collection, meeting coordination, and other duties).Support the development of program annual reports and program reviews.Serve as project manager for SHHS program marketing and promotion and program director recruitment activitiesManage collection of news and stories for sharing on program social media sites and blogs.Manage sponsorships and promotional initiatives at professional association meetings.Assist with search committees for positions within the School.Program ManagementProvide support for program administration, including management of degree program operations, data coordination for specialty accreditation, assistance with faculty coordination, student communications and registration, event planning, and social media.Coordinate payments related to faculty, guest speakers, subscription-based technology systems, and accreditors. Ensure that all expenses are processed in an accurate and timely manner.Work with the Program Directors to create, submit and maintain course schedules and records, send teaching invitations and coordinate with faculty, and collaborate with the Registrar’s Office.Organize and manage the Student and Faculty Canvas pages, updating student and faculty resources as needed.Manage textbook orders with the bookstore and order/coordinate textbook desk copies and/or resources for faculty.Collect and archive all course syllabi.Assist with external program level communications, such as with the American Psychological Association (APA) and assist in planning and/or hosting related events as needed (residencies, conferences, board meetings, etc.)Assist with onboarding new faculty members and course contracted instructors.Serve as a project manager on accreditation-related activities (data collection, meeting coordination, and other duties).University ServiceParticipate in school and university celebrations including commencements, convocations, and campus events.Participate in university initiatives as assigned.Experience and Education RequirementsBachelor’s degree requiredTwo or more years of experience in a university setting or demonstrated understanding of higher education.Program or project management experience.Experience working with a variety of different types of stakeholders.Student engagement and/or advising experience preferred.May consider other acceptable equivalent combinations of training and experience.Essential Knowledge & SkillsStrong interpersonal and written communications skills.Experience with data collection and analysis.Proficiency in office and educational technology.Strong organizational and prioritization skills.Dedication to a mission-driven organization.Exceptional relational skills as well as the ability to partner effectively both internally and externally.Physical DemandsSedentary work. Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties.
