Surgery Scheduler

Description The Surgery Scheduler is responsible for coordinating and scheduling complex neurosurgical procedures within the Neurosurgery Department. This role ensures that all surgical cases are accurately booked, pre-operative requirements are met, and communication flows seamlessly between surgeons, clinical staff, patients, and external partners. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced, highu2011acuity specialty. Surgical Scheduling & Coordination Schedule inpatient and outpatient neurosurgical procedures, ensuring accuracy in surgeon calendars, OR availability, equipment needs, and case duration. Coordinate multi-disciplinary cases involving anesthesia, radiology, ICU, and outside facilities when appropriate. Secure and verify OR block time in accordance with departmental guidelines. Patient Preparation & Communication Communicate pre-operative instructions, preparation requirements, and timelines to patients and families. Coordinate pre-op testing, imaging, labs, and medical clearances. Serve as the primary point of contact for patient questions related to scheduling, preparation, and follow-up. Administrative & Documentation Duties Obtain insurance authorizations, referrals, and surgical approvals in collaboration with financial clearance teams. Maintain accurate documentation in the electronic medical record (Epic), ensuring compliance with SHC standards. Track surgical orders, consent documentation, and pre-op checklists to ensure cases are fully cleared for surgery. Collaboration & Workflow Support Partner closely with neurosurgeons, APPs, nurse navigators, OR coordinators, and clinic staff. Escalate urgent cases or scheduling conflicts appropriately. Assist with schedule optimization, backlog management, and coverage planning. Additional Skills & Qualifications Prefer someone with surgery scheduling experience EPIC is a nice to have. Must have EMR experience 2-4 years of administrative healthcare experience experience with scheduling, call center, new patient coordinators This person will handle around 10-15 calls a day. Surgeries they are scheduling are complex and require connecting with cross functional teams.
