Job Description

The Associate Project Manager supports project execution and department operations within our solutions business. This role is essential for assisting with project planning, scope management, and budget control. The Associate Project Manager will work collaboratively with team members, clients, and stakeholders to ensure timely, on-budget project completion. In addition to primary project tasks, this position requires adaptability for varied responsibilities across the facility as needed. Essential Functions: An individual must be able to successfully perform the essential functions of this position with or without a reasonable accommodation. Project Management: u00b7 Assist in project planning, scope development, scheduling, and document management to ensure projects meet deadlines, budgets, and quality standards. u00b7 Support the preparation of project reports and tracking tools. u00b7 Coordinate logistics for project meetings and internal team communications. u00b7 Help ensure internal resources are aligned with project plans and assist with subcontractor coordination. Resource Management: u00b7 Assist in identifying, coordinating, and supporting both subcontractors and internal team members to contribute to project execution. u00b7 Help ensure resource allocation aligns with project objectives and timelines under the guidance of senior project managers. u00b7 Track resource usage and assist with adjustments to stay within project goals, including meeting deadlines and maintaining quality standards. Billings and Financials: u00b7 Assist with tracking and forecasting project expenses and revenues to ensure alignment with project budgets and financial goals. u00b7 Support monthly invoicing processes by preparing and reviewing basic financial data and assisting with project forecasting. u00b7 Collaborate to perform financial analysis and provide input to help ensure projects stay on track with budgetary objectives. Documentation and Reporting: u00b7 Assist in managing project documentation, including RFIs, submittals, contracts, subcontracts, compliance records, and As-Built documentation throughout the project lifecycle. u00b7 Prepare and organize periodic project status reports for review by Senior Project Managers and other stakeholders. u00b7 Help maintain accurate records and ensure that documents are filed and updated as required to meet project requirements. Change Order Management: u00b7 Assist in identifying and tracking potential change order opportunities. u00b7 Support the collection of necessary documentation for change orders and ensure it is properly maintained. u00b7 Collaborate with senior project managers to help understand the change order process and its impact on project timelines and budgets. Procurement and Inventory Support: u00b7 Assist in specifying, ordering, and tracking project materials to ensure timely availability for installation and commissioning. u00b7 Coordinate with vendors and suppliers to confirm the timely delivery of materials. u00b7 Maintain accurate records of materials ordered and their delivery status to ensure smooth project progress. Risk and Issue Support: u00b7 Assist in identifying and tracking project risks and issues, supporting the project team in implementing basic mitigation strategies. u00b7 Escalate risks and unresolved issues to the Project Manager, contributing to timely and effective resolution. Project Delivery, Quality Assurance & Handover: u00b7 Assist in implementing quality assurance processes, conducting site inspections, and identifying deficiencies. u00b7 Oversee project startup, installation, and commissioning, ensuring systems function as intended. u00b7 Coordinate final turnover documentation to the client, including design documents, system backups, and training. Compliance and Standards: u00b7 Ensure adherence to company policies and local, state, and federal regulatory standards on the project. u00b7 Identify potential project compliance risks and escalate to senior management to mitigate exposure. u00b7 Contribute to a culture of high performance and accountability by supporting continuous improvement initiatives. Safety: u00b7 Promote and enforce a strong safety culture by ensuring compliance with company and regulatory safety standards. u00b7 Actively support the creation of a safe work environment by identifying and reporting risks. u00b7 Assist in investigating safety incidents or accidents and contribute to developing strategies to prevent recurrence. u00b7 Reinforce that safety is everyoneu2019s responsibility and essential to project success. Client and Stakeholder Relations: u00b7 Support strong client relationships through open communication and efficient resolution of project issues. u00b7 Work closely with all stakeholders to align project deliverables with expectations. u00b7 Assist with gathering feedback and documenting client needs to support project success. Collaboration: u00b7 Foster collaboration across divisions and internal departments such as engineering, service, and sales to ensure seamless project execution. u00b7 Facilitate cross-functional meetings to align objectives, share resources, and leverage expertise across teams, enhancing project efficiency and outcomes. Team Leadership and Development: u00b7 Support a culture of open and honest dialogue with all team members, demonstrating the value of their input and engagement in improving performance. u00b7 Foster a performance-based environment to drive alignment with the companyu2019s vision, mission, and objectives. u00b7 Support personal and team development by staying current with industry best practices and contributing to continuous learning opportunities. Travel: u00b7 This role requires travel to various job sites DC metropolitan jobsites. Travel could account for up to 60% of the role and may necessitate working extended hours or weekends to meet project deadlines. Requirements Education and Experience: u00b7 Education: High school diploma or GED, supplemented by vocational or technical training in construction-related fields such as plumbing, electricity, or HVAC. u00b7 Preferred: Associate degree or equivalent experience in electronics, mechanical systems, computer technology, air conditioning, or a related field. u00b7 Experience: 0u20133 years of experience in project coordination or management.: u00b7 Preferred (not required) experience with HVAC control systems, including installation, commissioning, or troubleshooting. u00b7 Preferred (not required) experience working with Automated Logic control systems u00b7 Construction or trade-focused project management experience, including coordination of labor, materials, and schedules Knowledge and Skills: u00b7 Technical Proficiency: Ability to interpret design documents (plans and specifications) and apply basic project management tools. Proficient in Microsoft Office Suite and familiar with task management software. u00b7 Project Support: Assist in tracking schedules, budgets, and deliverables. Identify opportunities to improve processes and solve project-related issues. Problem Solving and Adaptability: u00b7 Display foundational problem-solving and critical-thinking abilities to support construction and field teams. u00b7 Exhibit self-initiative and a willingness to address project challenges without direct supervision. Communication Skills u00b7 Effective written, verbal, and interpersonal communication skills. u00b7 Demonstrate attention to detail in preparing clear and concise documentation, reports, and communications. u00b7 Exhibit a willingness to learn audience-appropriate communication practices and improve collaboration with team members. Leadership and Team Management: u00b7 Strong interpersonal skills with a commitment to open communication and an on-site presence. u00b7 Engage effectively with all levels of staff, promoting a collaborative and supportive work environment. Financial Acumen: u00b7 Demonstrate a foundational understanding of project financials, including cost tracking, basic budgeting principles, and invoicing processes. u00b7 Exhibit a willingness to learn and apply financial concepts, such as revenue recognition and expense monitoring, under the guidance of senior team members. Salary Range: $90,000-$110,000/yr. DOE. Physical Activities: While performing the duties of this job, the employee is regularly required to stand and talk or hear. The employee frequently is required to walk, use hands and arms to handle, feel and reach, push, pull bend and twist. The employee is occasionally required to sit, climb or balance, and stoop, kneel, crouch, or crawl through narrow, enclosed or elevated spaces; move up and down stairs. Visually inspect and locate equipment and products. Read information, often in small print. Enter and locate information on a computer system or communication device. Write documents, reports etc. using a writing instrument (e.g., pencil, pen) or computer. The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move more than 100 pounds. Working Conditions: While performing the duties of this job, the employee is frequently exposed to varying temperatures, work areas that may be slippery and or wet, near equipment and mechanical moving parts, electrical equipment and pressurized systems. Work indoors for extended periods of time. Work overnight, weekends, and rotating/varying shifts. This is an on-site position (job site or in an Albireo Office) and is not eligible for remote or hybrid work.
