Job Description The Trust Coordinator is responsible for administrative support for Account Managers/Trust Officers, maintaining all account files for compliance and audit and a variety of administrative and clerical support duties. Essential Functionsu2022 Follow established and defined policies and procedures requiring sound reasoning, judgment and initiativeu2022 Coordinate account documentation, including establishing, maintaining, and closing accounts on the trust accounting systemu2022 Coordinate documentation and communication with Trust Operationsu2022 Verify and/or process transactions, as directedu2022 Initiate specific transactions , as directedu2022 Identify/resolve daily account/administrative issuesu2022 Assist with special projects, seminars, and special eventsu2022 Ensure total document and data integrityu2022 Organize and file correspondence and documentationu2022 Manage personal workload/workflowu2022 Originate and type correspondence/documentationu2022 Answer the telephoneu2022 Identify and resolve customer/operational issuesu2022 Assist customers, as neededu2022 Partner with Trust personnel and operational staffu2022 Generate customer documents and agreements, as directedu2022 Input new account system informationu2022 Monitor overdrafts and excess cash balances in Trust Accountsu2022 Monitor the timely processing of transfers when opening/closing accountsu2022 Process distributions requests and bill payments for clients, as directedu2022 Check previous days operational transactionsu2022 Monitor receipt of new account assets and moneyu2022 Monitor receipt of closing account assets and moneyu2022 Update current client system information to operationsu2022 Deposit/post all transactionsu2022 Provide assistance/training to other personnelu2022 Contribute to various committees (as requested)u2022 Perform Committee Secretary duties (as assigned)u2022 Monitor and reconcile daily balance sheets, including those that come from outside record keepersu2022 Coordinate and monitor all incoming rollovers into designated planu2022 Provide administrative support for all Account Managers/Trust Officersu2022 Assist with audits and special projects as neededu2022 Recommend improvements to proceduresu2022 Provide appropriate customer service levelsu2022 Minimizing departmental non-payroll costsu2022 Maximize technology tools availableu2022 Ensure accuracy of financial datau2022 Communicate problems or areas requiring attention to manager Additional Essential Functions Essential Functionsu2022 Ensure compliance with Northwestu2019s policies and procedures, and Federal/State regulationsu2022 Navigate Microsoft Office Software, computer applications, and software specific to the department in order to maximize technology tools and gain efficiencyu2022 Work as part of a teamu2022 Work with on-site equipment Safety and Health for those without supervisory duties u2022 Abide by the rules of the safety and loss prevention programu2022 Perform work tasks in a safe manneru2022 Report any and all injuries to supervisoru2022 Know what to do in case of an emergency QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
